    Job Purpose:
    This role is to provide administration functions across multiple departments, ensuring smooth operation within the business.

    Key Responsibilities:
    Communication with Clients:
    • Emails: Clear wording and professionalism using Outlook.
    • Phone Calls: Friendly, understanding, and professional communication.

    Processing Income Tax Returns:
    • Ensuring accurate return processing.
    • Loading logbooks, schedules, and company documents for approval.
    • Loading client claims, including car, travel, commission, home office, rental income, local business, donations, disability, capital gains/losses, unemployment, foreign income, estates, medical aid, retirement annuity, interest earned, and IRP5's on e-filing.
    • Managing SARS appointments, requesting required documents, and submitting them in a timely manner.
    • Handling SARS calls, escalations, and complaints efficiently.

    Invoicing:
    • Generating invoices accurately and on time.
    • Phoning clients on invoice days and following up on unpaid invoices.
    • Ensuring prompt payment receipt.
    • Sending thank-you emails for payments.

    RIIVO – TTT CRM Software System:
    • Capturing Riivo data correctly.
    • Loading referrals, client information, and cases into the system.
    • Loading and updating invoices and tasks accurately.

    Office Committees:
    • Participating in various office committees, including uniforms, stationery, printers, first aid, social events, and more.
    • Contribution and attitude towards committee involvement.

    Communication with Head Office Staff:
    • Emails: Clear wording and professionalism using Outlook.
    • Interacting with head office staff in a friendly and professional manner.

    Key Performance Indications (Measurable Deliverables):
    • Prompt payment of outstanding invoices (less than 7 days).
    • Timely handling of returns (within 30 days).
    • Error-free Riivo data capture.
    • Contract receipt and signing before work commencement.

    Key Performance Areas (Unmeasurable Deliverables):
    • Correct grammar and spelling in emails.
    • 12-hour response time to emails.
    • Use of scripted emails.
    • Delivery of professionalism in all interactions.
    • Answering phone calls within 3 rings.
