    Junior HR & Payroll Administrator Role

    This position involves payroll processing for a company with three divisions on the payroll system.

    Key Responsibilities:

    Office Support and Communication

    • Procure HR consumables and office items.
    • Maintain up-to-date filing systems accessible to others.
    • Use Microsoft Office 365 Suite for written, verbal, and video communication.
    • Assist with effective communication among stakeholders through meetings and shared information.
    • Translate and circulate notices on notice boards to ensure upward and downward communication.

    Payroll Data Administration

    Assist with payroll data for approximately 180 employees, including:

    • Processing weekly payrolls.
    • Supporting monthly payroll tasks.
    • Maintaining and updating attendance management systems:
      • Monitor and report absenteeism to management.
      • Load or remove employee information onto the system and synchronize with facial recognition.
      • Correct verified clocks as needed.
      • Liaise with staff regarding queries.

    Human Resources Administration

    • Employee/Operational Files
      • Utilize internal HR-related software programs competently.
      • Provide clerical support, including filing, scanning, photocopying, and maintaining paper and electronic filing systems.
      • Maintain manual and electronic staff files, ensuring relevant documentation is up to date.
      • Comply with HR calendar deadlines and update SMP files as specified.
      • Discipline and Performance-Related Items
        • Assist with administration related to discipline, probation, and performance meetings – coordination, booking, minutes, and related items.
        • Attend meetings for interpretation purposes.
        • Ensure administration and preparations for discipline processes are collated and submitted to HR Officer for review.
      • Training and Development
        • Arrange training where required, ensuring service providers meet approved BBBEE levels.
      • Health and Safety
        • Provide support with IOD administration as needed.
        • Assist with loading IOD on DEL system under HR/Payroll officer oversight.
        • Ensure medical assessment registers are received from divisions and uploaded on SMP as necessary.
      • Statutory and Legislative Items
        • Assist with administration/filing of mandated items (e.g. SETA correspondence/equity correspondence/UI19's).
      • Recruitment and Selection
        • Support recruitment efforts – job advertisements, application receipt/collation, updating recruitment schedules, and scheduling interviews.
        • Ensure background checks are completed and filed accordingly.
      • On/Off Boarding
        • Assist with admin tasks (checklists/booking of boardrooms) for professional onboarding/offboarding.
        • Prepare employee documents and save them on the server/share drive for HR Officer review.
      • HR Calendar/Reports
        • Provide support and assist with HR Admin tasks, including demographic information, learnerships/apprenticeships, leave, discipline, training data.

      Requirements:

      • Proficiency in Zulu language (written and verbal) is essential.
      • One year of experience in a similar role or payroll department is essential, with a relevant certificate or diploma in Payroll strongly advantageous.
      • Current knowledge of Payroll Systems, preferably SAGE300, ESS, E-filing, Easyfile, is essential.
      • Fluent in Microsoft Office with intermediate/advanced level Excel is essential.
      • Use of Time Attendance system (Beyond Attendance) is advantageous.
      • Business English.
      • Good understanding of SARS/UIF&WCA online systems and procedures.
      • Good understanding of Bargaining Council (NBCCI) and Provident fund procedures is essential.
      • Own vehicle and valid driver's license.
      • Strong Mathematical skills & good time management skills.
      • Excellent organizational skills & good multitasking skills.
      • Ability to meet deadlines.
      • Be bilingual.
