Description
An opportunity has become available for a HR Administrator to join our Entyce (Coffee and Creamer Plant) in Isando. Reporting directly to the HR Manager, dotted line reporting to Senior HR Officer.

This role will be an integral part of the factory HR function providing support to the Senior HR Officer and HR Manager, HR Team.


Duties

HR Administration

  • Prepare relevant documentation in advance of appointments
  • Follow up on all referred queries / complaints to ensure they are dealt with and followed through
  • Prepare and distribute internal and external correspondence for HR department
  • Check that all relevant HR documentation have been received and keep all HR and confidential documentation and information up to date in a safe and secure environment
  • Provide all parties timeously with the relevant and accurate requested HR documentation
  • Organise training and induction sessions by booking venues, refreshments and transport and sending notifications for scheduled training to delegates and training providers
  • Address general training queries received from management and employees
  • Provide parties timeously with the relevant and accurate HR documentation by compiling data for training activities
  • Follow up on performance agreements to ensure that they are submitted on time and create the relevant spread sheet for reporting purposes
  • Provide parties timeously with the relevant and accurate HR documentation with regard to performance management and appraisals
  • Transformation Administration
  • Organise training sessions for line managers where applicable to ensure thorough understanding of IR policies
  • Organise internal disciplinary hearings, appeals and grievance meetings by booking venues, arranging transport and refreshments, sending out notifications and taking minutes if required
  • File all minutes and other case documentation taken during disciplinary hearings to ensure ease of access
  • Provide all parties timeously with the relevant and accurate HR documentation, e.g. preparing information required for wage negotiation process
  • Receive relevant approved forms for all employee movements from the various department heads / managers
  • Conduct integrity check of master data to ensure all data is complete and accurate
  • Address all general HRIS system information queries received from management and employees
  • Liaise with staff regard to Death and Disability Claims for provident fund
  • Inform Payroll of Long service payments that needs to be processed
  • Assist the HR Officer and HR Manager with the administration around the employee Wellness plan, including the ongoing communication of the ICAS offering
  • Arrange venues, catering, refreshments and transportation for the annual EAP / Wellness meetings / events
  • Provide all parties timeously with the relevant and accurate HR documentation around EAP / Wellness programme
  • Assist with completion of HR Projects
  • Action HR Adhoc activities

T&A Administration

  • Schedule employees on Bestime
  • Captures all allowances on Bestime and SAP, including overtime, short time, nightshift, acting, etc. and ensures line manager approval of hours before payroll cut off
  • Checks previous month's payroll queries for authenticity and does necessary changes on Bestime and SAP
  • Sends discrepancies and weekly consolidation report to Supervisors
  • Pulls payroll report on weekly basis and amends where applicable
  • Sends short hours report to Supervisors
  • Receives, collates, and checks monthly overtime schedules
  • Loads all employees' monthly and weekly inclock and outclock time zones
  • Picks up any errors and logs call to correct
  • Addresses all general queries received from management and employees
  • Provides all parties timeously with the relevant and accurate requested HR documentation

Experience required:


  • At least 2 years' HR administration experience gained in a unionised environment within the FMCG/Manufacturing industry
  • Sound knowledge of employment legislation (BCEA, LRA, etc.)
  • Proficient in using Microsoft Office (Excel, Word, PP, Outlook)
  • Knowledge of SAP and BesTime would be highly advantageous

Qualifications required:


  • A completed tertiary qualification in Human Resources / Industrial Psychology / Payroll (National Diploma or a Bachelors' degree)
