Our client is seeking a Studio Co-Ordinator for the day-to-day running of their Design Studio in Johannesburg.

Working with a busy and inspiring creative team, the Studio Co Ordinator is key in ensuring everything is running smoothly, from operations to Resource management.

Being the first point of contact for all design requests and enquiries and acting as a lynch pin between the Design team and the internal clients.


Key responsibilities of this role include:


  • Resource Planning:Managing internal and external creative resources according to business priorities, ensuring processes are in place to nurture collaboration and creativity.

Asset Management: Organising all creative assets across channels and by market, implementing and maintaining an accurate database. This includes embedding consistent filing systems through the creative team and ensuring appropriate size and file type as required.

Brand Alignment: Ensuring the briefing process is as efficient as possible, and that requests are aligned with our brand guidelines and tone of voice.

Project management: Reviewing all briefs to ensure all information, including timings and proposed RAPID, is provided to ensure appropriate resource allocation. Keeping track of project timelines and scheduling alignment/feedback meetings as needed. Communicating to stakeholders on progress and requirements through to sign-off. Leading the weekly Campaign Planning meeting with Marketing, and Acquisition representatives to keep projects on track.

Stakeholder management: providing clear, regular and proactive communication to stakeholders, always

Print management: Managing through all assets going to print from specification through to distribution.

Affiliate Platform management: managing the folders and availability of all required assets in a timely manner ensuring new and innovative creative is available to partners at all times.


We're looking for someone who is:


  • Organised: Someone who can define and set up new ways of working for the team and establish best practices, to ensure increased efficiency and visibility of project progress and subsequent filing and distribution. Easily identifying any peaks in workload and planning accordingly, always focussing on the priorities of the business.

Action oriented:Someone who, when looking at a brief, is able to decipher the problem that needs responding to and can challenge back if ambiguous. They are able to quickly establish what time, resource and budget would be required to deliver a response to the brief.

Collaborative:Someone who is able to work productively with internal and external stakeholders to produce accurate information for briefs and feedback, as well as provide regular updates to the Head of Creative and CMO on the status of projects, capacity and budget.

Creative:You are a creative thinker and problem solver with a 'can do' attitude.

Positive: A people person who values internal and external relationships and thrives on building high performing, collaborative and inclusive teams. Someone who has honest relationships with stakeholders, providing realistic timelines and is confident to say 'no' if required based on capacity, business priorities or brand guardianship. A problem-solver who can be flexible where needed whilst motivating those around them.

  • Proficient in the use project management tools
  • Jira / Asana or other tools of a similar nature.
  • Excellent attention to detail
  • Excellent communications skills verbal and written.
  • Ability to multitask under pressure whilst maintaining a calm, professional attitude
  • Ability to work flexibly as deadlines dictate
  • High level organisation, prioritisation and time management skills
  • Team oriented with ability to work autonomously and take the lead in multiple design projects at once
  • Resourceful with aptitude for practical and innovative problem solving
  • Open to providing and receiving feedback.
  • Administration ensuring studio archiving and backups are complete
