    This role utilises expert knowledge in the specific fields of administration / product / process to resolve technical problems, usually in support of administrative queries/issues. The incumbent is individually accountable for achieving results through own efforts.

  • This role functions as a subject matter expert in a specific field of administration / product / process.
  • Often acts as a point of escalation for matters with higher level of complexity than those handled by Administrators.
  • May act as a coach for administrative staff. Often consulted for system enhancements and testing.
  • Resolves technical and complex problems, especially in support of administrative queries/issues.
  • Applies specialist knowledge in a focused role working with relatively complex information.
  • Operational in nature.
  • Key Result Areas:

    Management of ER Website

  • Ensure details are up-to-date and relevant throughout the year for ER and EE Intranet pages
  • People and Values

  • Live and model values, holding self-accountable
  • Liaising with stakeholders both internally and externally

  • Internal – HCBPs, HCSC, EE Facilitators, LMs, Las, marketing & comms, DEX, Rem, Separate entities for EE, Transformation Office
  • External - Trade unions within Central Forum; Service Providers [Attorneys, dispute resolution associations, etc.]; Regulatory and professional bodies [CCMA & SASLAW] on behalf of the legal advisors
  • Administration of Employment Equity compliance, meetings and initiatives

  • Perform secretarial functions for EE Forum and Consultation Committee meetings
  • Prepare data and presentations for EE forum and committee – including gathering information, relating to the workforce profile, recruitment, promotions, terminations and persons with disability.
  • Assist with the compilation of the EE plan
  • Facilitates the Employment Equity cycle
  • Full administration of Annual Employment Equity verification for B-BBEE
  • Ensures the availability of accurate information.
  • Gather, compile and coordinate EE evidence across OM for B-BBEE
  • Employment Equity and Employee Relations monthly and quarterly reporting

  • Monitor and report Segment and Group progress at pre-determined intervals - tracking metrics, weightings and reports on EE targets in the business.
  • Collates statistical information relating to internal ER processes and CCMA cases
  • Ensure that processes (incl online systems) are explained to COP and distributed Focuses on administrative support, the implementation of Workday processes Maintain ER App and EE tool and provide training to HCBPs
  • Administration of Old Mutual Disability Declaration process

  • Approve disability declarations on Workday.
  • Manage disability declaration evidence
  • Support awareness campaigns
  • ER case management - Oversee CCMA case management which includes:

  • Weekly CCMA case allocations.
  • Preparation and finalising of standard CCMA documentation including objections to Con-Arb
  • Logistical arrangements of hearings, including obtaining consent for virtual or hybrid hearings, sourcing virtual or telephonic links for legal advisors ahead of hearings
  • Overseeing involvement of grad interns in this process
  • Mailbox management

  • Management of queries and engaging advisors for support with a 2 to 3 business day turnaround on all central ER Mailboxes
  • Secretariat function for Central ER Engagement Forums

  • Logistical arrangements and coordination for collective bargaining meetings
  • Finalising and circulating the agenda and meeting minutes for the Central ER Forum
  • Support the delivery of various calendar events, as required

    Contributes to projects, as required

    Requirements:

    Experience

  • At least 2 to 5 years working knowledge of administration functions in a Human Capital or Employment Relations environment
  • Secretariat functions (responsible for minutes taking, logistics of meetings, planning overall)
  • Experience with tools, such as Power BI, Excel (creating pivot tables, etc.), Workday or similar
  • Employment Equity monitoring and reporting; and BBBEE verification
  • Qualifications

  • Relevant Tertiary Qualification (Degree/Diploma)
  • Human Resource/Labour Law Qualification advantages
