Job Purpose
- Key Outputs may include but are not limited to:
- Manage and coordinate the logistics for all internal and external companies hosting events at DiscoveryKey Outputs may include but are not limited to:
- Full internal and external event management that includes but are not limited to:
- Obtaining brief from client
- Assist with generating ideas for events
- Obtaining quotes from various suppliers based on the event requirements
- Make recommendations based on quotes received to ensure budgets are met
- Track and get signoff for work permits where applicable
- Attend the event from start to finish including managing setup and strike of event
- Get full debrief from client after event
- Manage event finance which include the following:
- Draft quote for approval to give overview of event cost
- After event draft event invoice for signoff and submit to management for review
- Submit all supplier invoices for payment
- Coordinate all admin relating to event
- Venue bookings on behalf of clients
- Catering
- Alcohol orders
- Floor plans where applicable
- Décor
- Refreshment orders
- Safe work permits.
- Electrical requirements
- Setup of the room
- Invoice management and tracking
- Request of quotes and submit final invoice to client
- Chair internal CRES meeting to get all event logistics approved by Health and Safety, Security, the communications team, operations and the hospitalities team
- Manage expectations with external event companies that is brought in to manage events
- Complete all event related stats that include but are not limited to:
- Finance stats sheet
- Event calendar
- Do complete furniture and equipment check before and after event to report damages intime
- Attend Focus meetings relating to events for update and brainstorming purposes
- Job / Role Requirements
Work Experience
Required
- 3 Year event management / or Relationship manager
Preferred (would be advantageous)
- Project management experience
Education / Qualifications / Accreditations with Professional Body
Required
- Degree or diploma in Event management / project management
Preferred (would be advantageous)
