ITAM Portfolio Controller Tasks
This position is responsible for
managing the tactical and operational implementation and control of the ITAM Portfolio Framework to deliver on the IS Strategy

The scope includes:

Hardware Asset Management (HAM), Software Asset Management (SAM) including Software Licensing Management, and the IS Warehouse function (Central & Regional).

Management of commercial risk relevant to IT assets

Tactical

Responsible for the asset lifecycle tool including:
Change Management
Updating of specifications, models and standards as per the ITAB revisions
Supervisor/Administrator
Interface with IS functions and Shared Service to delivered IT asset management (e.g. Capitalization)
Management Reporting and Actions
Liaise, analyse and report on tactical ITAM Portfolio activities
KPI/KPA dashboard consolidation and reporting
Consolidate and prepare analysis presentations and KPI reports
Perform Adhoc requests data collation and analysis for presentation purposes
Coordinate Governance & Compliance
Includes incontract governance
Refining best practice ITAM Portfolio management processes, systems and frameworks for ongoing delivery
Maintaining ITAM Portfolio/licensing, governance policies, including administration, processes, contract terms and conditions (With regard to deliverables, principles, processes, procedures etc)
Ensuring implementation & adherence of proper ITAM Portfolio contractual and licensing contract processes and practices
Tactical delivery and monitoring operational compliance to the IS ITAM Portfolio Strategy and alignment with:
IS Commercial Strategy and Framework
IS Enterprise Architecture strategy, roadmaps and ITAB standards
IS Applications strategy and roadmap
The IS Service Management Strategy and Framework
The IS Infrastructure Strategy and roadmap
Control the operational management of maintaining, and updating the policies and procedures for effective asset lifecycle management (acquisition, deployment, utilization, deinstallation and reallocation) of ITAM assets
Work closely with MTN Finance, IS Architecture Group, Technology Domain Managers, Operations & Delivery and Procurement to:
Ensure asset acquisition, tracking, utilization, and de-installation (reclamation) processes are communicated, implemented and complied with
Maintain process interfaces that support budgeting process, RFI/RFPs, capital expense requests, compliance to standards, input from projects, etc.
Define metrics, gather data, and report effectiveness of ITAM and Software License Management processes
Advise on the Refinement and Prioritisation of Strategic ITAM Options
Provide liaison and advice on ITAM related commercial issues and for resolving ITAM related commercial problems attached to vendor contracts
Coordinate knowledge on all Software Asset Management aspects of contracts
Coordinate input into the ITAM and Software Licensing component of RFI/RFP lifecycle and process

Identify and coordinate opportunities to optimize unused or partially used IT assets to achieve full efficiency and ROI from company assets

Manage ITAM Operationalisation (Both Hardware & Software Asset Management)

Control, coordinate and track an accurate inventory of all IT assets throughout the lifecycle.

Assets include but not limited to:

Copies of software licenses, warranties, and maintenance agreements
All software and hardware serial numbers, asset tags, locations, etc.
All costs associated with asset and maintenance/support
Control all phases of the Hardware and Software Asset Data Management process (acquisition, change, maintenance, upgrade, decommission, and disposal) to manage asset lifecycles
Control and coordinate the reconciliation, audits and validation of licenses and maintenance contracts against installed asset base and software library
Work closely with IS Compliance to support audit processes
Coordinate to ensure accuracy and timeliness of data and asset reporting to stakeholders
Vendor relationship liaison and management of ITAM portfolio including monthly and quarterly meetings, performance, previous escalations and issue resolution.
Report on Asset Inventory information of current assets and licenses, and advise on consolidation of contracts to give effect to greater discounts & service levels

Coordinate IS Warehouse Function

Coordinate and ensure a professional IS Asset Warehouse lifecycle process and facility, both centrally and regionally
Ensure that compliance to policies, processes, procedures and standards is maintained
This includes all IS enterprise wide hardware & infrastructure assets, all Includes Operating Systems, Applications, Tools, Licenses, COTS, Bespoke Development and Databases and the Software library
Coordinate equipment delivery, returns, relocations, transfers and retirement, compliance, reporting, issues & escalations
