Qualification:
Matriculation Certificate
Further Relevant Qualification (e.g. Business Administration)
Experience:
A minimum of 5 years' experience as an Office Manager/Executive Secretary in a fast-paced and complex environment.
Job-related Knowledge:
IDC policies, processes, systems procedures, and business understanding
Knowledge of data and administrative management practices and procedures, business and management principles
Relevant HR Legislation (e.g. LRA, BCEA etc.)

Key Responsibilities:
1. Office Coordination and Support:
• Ensuring timely handling of operational matters and requests.
• Assisting in drafting key memos/documents/letters of response both internally and externally.
• Maintaining relevant documentation for the Divisional Executive's engagements.
• Managing highly confidential information with extreme discretion and privacy.
2. Customer Focus and Stakeholder Management:
• Engaging internal and external stakeholders professionally, sensitively, and tactfully to understand and respond to requests/business needs and obtain additional information.
• Maintaining accurate records and documentation trails on matters attended and responded to.
• Providing regular updates and feedback to stakeholders as required.
• Delivering an efficient customer-centric service to the IDC Board, Board Human Capital and Nominations Committee Chair, and external stakeholders.
• Establishing a professional and customer-centric 'meet and greet' function that welcomes visitors to the IDC and leaves a positive impression.
3. Learning Growth:
• Proactively driving own development and understanding of the Division and Corporation.
• Participating in knowledge sharing and other forums to enhance knowledge, understanding, and operations.
• Regularly participating in team meetings, highlighting issues, and owning actions through to resolution.
4. Financial Prudence and Due Diligence:
To ensure correctness, accuracy, and timeliness of all financial-related transactions (invoices, travel claims, stationery requisitions, etc.).
5. Administrative Ad-Hoc Outcomes:
• Proactively managing the information flow/correspondence (email, letters, memos, etc.) of the office of the Executive and alerting the Divisional Executive accordingly based on urgency and importance.
• Responding to and managing routine and non-critical correspondence to alleviate communication volume proactively.
• Assisting in preparing reports, presentation slides, and other documentation as required.
• Scheduling Divisional Executives' commitments and availability efficiently, balanced, and allowing time for matters outside of meetings and committee commitments.
• Drafting, vetting, approving, and circulating minutes accurately and timely.
• Coordinating events/functions/engagements smoothly and building the brand and reputation of the Division.
• Preparing/coordinating/editing internal newsletters, reports, documents, and executive summaries and distributing them accurately.
• Maintaining a confidential, accurate, easily accessible, and logical electronic and/or hard copy filing system facilitating ease of access.
• Coordinating travel itineraries and arrangements to ensure practical, efficient, and hassle-free travel plans for the Divisional Executives.
• Ensuring all documentation emanating from the Divisional Executives' Office is professional, accurate, consistent, and presentable.
6. Execution and Follow-Through:
• Optimizing service delivery to address clients' needs and align with the Customer Service Charter of the Corporation.
• Ensuring all interactions and responses reflect the values of the Corporation.
• Sharing ideas for improvement in the management of operational and administrative demands of the Divisional Executive.
