Job Title:
Warehouse Supervisor


  • Reporting to: Senior Accountant

Job Objective:

  • The primary function of the Warehouse Supervisor is to ensure that all stock items and purchase orders are raised with preferred suppliers and respective stock items delivered and issued within a 48hour period.
  • Effective and efficient management of the entire stores function inclusive of minimum stock holding levels to ensure service level deliverables to all departments.
  • Knowledge and Skill Requirements:
  • Grade 1
  • Diploma in Procurement/Warehouse Management.
  • Computer Literate (MW Office).
  • Great Plains experience an advantage.
  • Attention to detail and ability to work tight and prescribed timelines.
  • Minimum 3 years' experience in a supervising position.
  • Must have experience in buying and price negotiation.
  • Duties include:
  • Purchasing: Ensure that all purchasing requisitions received in writing are processed and respective purchase orders are placed with suppliers within 24 hours of receipt of purchasing requisitions.
  • Ensure deliveries of standard stock items are received within 24 hours of official purchase order having been sent to the supplier.
  • Responsible to ensure that an accurate log is kept of purchase requisitions received, purchase orders raised and submitted to suppliers and deliveries scheduled / received.
  • Receipting: Responsible for verification of deliveries received against purchase orders raised taking into consideration quantities, pricing as well as discounts. Ensure receipting of all deliveries received is captured on the system within 24 hours of receipt.
  • Procurement Budget: Ensure all procurement is undertaken within predetermined budget stipulations and budget variances reported monthly.
  • Core Vendor Evaluation: Responsible for the development of relationships with respective core vendors ensuring that service levels, pricing and respective discounts are negotiated on an ongoing basis.
  • Preferential Procurement: Responsible for ensuring all preferential procurement documentation is on hand for each vendor (BEE Certification). Strategy in place to review current noncompliance vendors and establish a timeframe in which to transition to preferential procurement vendors.
  • Departmental Communication: Ensure daily written communication as to the status of purchase requisitions placed with all departments.
  • Stock Control: Responsible to ensure the effective stock control and management of the entire Stores (inclusive of Meter Stores). Ensure respective stock control policies and procedures are implemented, monitored, and reviewed on a continuous basis to ensure efficiencies and deliverables in terms of company requirements.
  • Responsible for ensuring stock reorder levels are maintained to continuously deliver on service level requirements for all departments and especially for the Operations Department
  • Manage monthly stock takes efficiently and effectively before due date.
  • Ensure stock take variances are thoroughly investigated and reported.
  • Ensure mail is collected daily and returned.
  • Ensure Stores is neat, clean, and tidy always.
  • Employee Productivity: Manage employees consistently with respect to all employee related policies / procedures and departmental processes ensuring optimum productivity and efficiency levels are achieved in support of the objectives of the company.
  • Performance Management: Review KPA's and KPI's every six months to ensure alignment to company and departmental objectives. Provide objective data in support of Performance Management review ratings.
  • Employee Development: As a result of the Performance Management processes, clearly identify training requirements (internal / external) for employees within the department to ensure employee development in support of business objectives.
  • Succession Planning: Ensure that effective succession planning / employee career pathing within the department are identified and developed across all levels. Succession plans must be documented and communicated to Human Resources on a sixmonthly basis.

  • Safety:
  • Adhere to all Gas safety practices and the OHS ACT and all associated legal requirements.
  • Responsible for ensuring an ongoing clean, tidy, and safe work environment in line with legislative requirements and infringements reported to the Safety Officer timeously.
  • Subscribe to best practice implementation and adoption of ISO management standards.
