REQUIREMENTS

  • Matric, academic qualifications and experience in property
  • Very good Microsoft Word and Excel.
  • Communicate effectively and clearly written, verbal, and including drafting correspondence and documents with strong attention to detail
  • Ability to work in a varied and demanding role with appropriate supervision.
  • Ability to work to strict deadlines and be organised and efficient
  • Understanding and knowledge of property leases and their procurement.
  • Knowledge and understanding of the legal requirements applicable to the ownership and titles of properties and dealing with Land Registry titles & Requisitions.
  • Able to show an understanding of and commitment to property services with an understanding of and commitment to good customer care.
  • Selfmotivated, with high energy and enthusiasm

DUTIES

  • Dealing with and coordinating replies to leaseholders and freeholders to procure all relevant leases, titles and land registry document in accordance with internal processes, timescales and ensuring income generation for such activity.
  • To review leases for properties within buildings to determine all lease and land registry documents are available and stored within files.
  • To produce a process for procuring leases for each building and lease type.
  • Updating ownership records & change of addresses as required and notified.
  • Liaison with Lettings & Residential Legal Coordinator and Senior Residential Manager to determine all properties to review and procure leases in accordance with the annual plans
  • Manage invoicing, follow the invoicing process and charge accordingly for work done and documents procured
  • Coordinating with the accounts team to ensure all fees are billed and funds received.
  • To meet revenue targets set by Senior Residential Manager.
  • All administrative tasks relating to accounts and billing for the KYC department.
  • Develop & maintain relationships with leaseholders, freeholders, boards and directors.
  • Arrange for provision of lease documents and reviews.
  • Maintain contact with Freeholders of Blocks to the process, progression of lease procurement and provide reports to highlight progress.
  • Providing guidance to all relevant parties on enquiries to various matters including all KYC administration matters
  • To investigate leases of managed blocks, determine any outstanding leases for procurement and to do so following agreed processes.
  • To manage KPIs including fee income generation
  • Participate in team, departmental and corporate project and planning processes as required.
  • To observe the highest possible standards in relation to client and customer confidentiality and in compliance with Data Protection legislation.
  • To undertake any other duties as are reasonably requested from time to time.
  • Maintain accurate computerised and manual records regarding leasehold ownership records.
  • Develop and maintain relationships with external clients such as solicitors and equivalent external parties.

Salary:
R25 R30,000 dependent on experience
