Recruiting for a Sales Administrator for a large Media & Marketing company based at their Maitland offices, Cape Town.


The objective of the Sales Administrator is to provide an effective and accurate administration service and support to the Account Directors, and to assist the Account Director in maintaining and building client relationships.


Responsibilities:


Work output 1:
Financial Management


  • Follow up on all outstanding PO's, confirm order and billings and ensure Finance receives the relevant documentation
  • Follow up on CI's with clients
  • Credit card reconciliations for Senior Managers

Work output 2:
Business Process Management


Governance

  • Adhere to Company policies and departmental procedures
  • Ensure that all paperwork is completed and filed with the relevant departments
  • Upload all campaign information, contracts and site information on NAVISION
  • Ensure all client reports are compiled with relevant information and distributed to clients timeously

Operational

  • Develop effective and efficient administration systems and procedures
  • Send client proposals out and deal with client queries
  • Provide assistance to clients as a representative of the Account Directors
  • Create the client contracts and ensure clients sign the proposals
  • Update the list of campaign's coming to an end and ensure the Planner is kept updated on the status of campaigns
  • Assist with client entertainment bookings (spa days, lunches, client gifts, accommodation)
  • Work closely with the Business Process Manager in order to have all relevant campaign information at hand
  • Provide backoffice support to all Account Directors
  • Manage all daytoday queries, problems and crisis areas timeously
  • Ensure that accurate records are kept on all campaigns

Work output 3:
Learning and Growth (People)

  • Maintain own Personal Development Plan
  • Assist with Staff Wellness initiatives within the division
  • Assist with Product Training sessions

Work output 4:
Client Management

  • Ensure that accurate information is submitted to the Account Directors and Planning
  • Build and maintain relationships with relevant stakeholders, internally and externally
  • Communicate and advise all stakeholders on any changes in briefs timeously
  • Provide regular feedback to Management and Operations

Job Requirements:


  • Matric or relevant diploma/certificate in Business Administration field
  • Computer literate in MS Office, Outlook, MSWord, MS Excel, MS PowerPoint
  • Minimum 3 years in media administration, including budget control
