Personal Assistant

1.
POSITION PURPOSE
To answer incoming calls to the Organisation and support the Director on a day to day basis in coordinating his time, being the first line of contact for members trying to contact the Director, support the development and distribution of marketing and communication material and assist with the coordination of events


3. KEY ACCOUNTABILITIES

OUTPUT 1:
Reception


  • Answer all incoming calls to the Organisation and distribute them accordingly to the Director or relevant individual.

OUTPUT 2:
PA to Director


  • Setup meeting as requested by the Director
  • Manage the Directors to do list
  • Prepare material required by the Director for operational and member / donor engagement

OUTPUT 3:
Member Donor and Partner engagements and relations


  • Note, action, track and followup on all enquiries, queries and issues as the first point of contact.
  • Maintain a list of all enquiries, queries and issues for reporting to the Director and to ensure resolution

OUTPUT 4:
CRM/


  • Collect customer data when engaging them.
  • Update and Maintain the Company CRM system data on an ongoing basis.

OUTPUT 5:
Marketing and communication


  • In the development of marketing and communication material:
  • Manage the process to develop the marketing and communication
  • Follow up with people that have to provide material to ensure it is received on time
  • Collate all material received
  • Create an initial draft of the proposed material
  • Contact and liaise with the outsourced graphic designer and printers when required
  • Create the final version of the material with input from the required people.
  • Prepare for the Distribution of marketing and communication material with support from others as required via:
  • Social Media
  • News media

OUTPUT 6:
Event coordination


  • Manage the Planning, preparation and execution of all events with support and oversight from the Director
