Supports Sales Department by ensuring on time stock delivery

  • Dispatching and receiving goods
  • Supports warehouse by Row/Container & Acc counts

The Warehouse Supervisor is responsible for the overall movements of stock in and out of the warehouse which covers the following areas:

1)
Stock Accountability & Integrity

  • The Warehouse Supervisor is to ensure that all stock issued out of the warehouse is accurate and correct as per DN via own delivery and courier delivery.
  • Have the stock properly packed for ease of picking and packaging.
  • He is responsible for all stock received in or out and ensures IBT's are correct as per tally sheets issued.

2)
Receiving — Incoming Containers & IBT

  • Ensure that all receipts are correct and all documentations done.
  • All receipts must have YOM (Year of Manufacture) coded before locating to Bin or container Location.
  • All tally sheets and documentations to be checked before submitting to Admin Clerk.
  • Communicate with your manager so that shipment is done on time.

3) Dispatching
- IBT*- Ensure the timeline of the dispatch to be met and transport for the dispatch is arranged.

  • If the dispatching of IBT is using our own vehicle, inform the assigned driver ahead and prepare petty cash for him. Upon the completion of IBT, compile manpower cost, toll charges and fuel charges into the "IBT Own vehicle (4tons) Charges Summary" and submit to Accounts Dept.
  • Inform Internal Sales of any stock outs as a way of managing customer relations.
  • Proactively communicate to Sales where delivery on time will be compromised.
  • When IBT loaded and sealed, inform Warehouse Manager on the vehicle's no., seal no. and a copy of the list of items dispatch (tally sheet must include YOM or serial numbers).

4) Order Processing / Deliveries

  • Ensure that all orders for the day are processed and dispatched for delivery.
  • All items in the picking lists are correctly picked in qty and pattern.
  • Ensure that all the delivery vehicles are fully utilized in an efficient way.
  • Ensure that all items to be delivered, are inspected and verify against the Delivery Order before hand over to the drivers for delivery.
  • Delivery Manifest to be created for each delivery vehicle.
  • When the delivery is completed, any issue or discrepancy reported by the drivers, to be thoroughly investigated and rectified. Report them to Warehouse Manager
  • All PODs (Proof of Delivery) are to be submitted to Warehouse Clerk.
  • Any GRN or cancelled order are to be staged in the "Returns" cage, container, documented and request for credit to be reported to the Warehouse Manager. Upon receipt of credit note, remove the stock from the cage/container, relocate them into Bin Locations and submit to be updated the system.

5) Stock Consolidation & Reconciliation / Cycle Count

  • Cycle Count is to be done on a daily basis and submitted to Warehouse Clerk.
  • Accessories must be counted twice a month and submitted.
  • Consolidation to be done regularly to prepare for incoming stock

6) RFC's

  • Ensure you have proper documents before accepting RFC's
  • Have a proper recording and storage of returned goods and submit the relevant documentation for processing.
  • Ensure the RFC cage/container is cleared as soon as you receive the relevant documents.
  • RFC's that needs to be collected must be done in the most cost effective way possible.

7) Maintenance of Vehicles, Equipment & Building

  • Monitor all delivery vehicles maintenance schedule; ensure that they are all in good running condition (tyres are not worn out, signal lights working, etc).
  • Ensure that all vehicles have valid registration disc.
  • Update Delivery Vehiclesnew Equipment Maintenance Log weekly.
  • All vehicles (including the Pool vehicles) must be cleaned on a regular basis.
  • All equipment must be servicing on a regular basis and in good working condition.
  • Inspect the warehouse building (interior and exterior) and rectify/report any problems or damages. Likewise, the perimeter areas and OTR/ORR plot to be maintained regularly.

8) Security

  • Ensure all the security system in and around the warehouse (including the OTR/ORR plot) are in working condition.
  • The security guards to inspect all vehicles (including our own company vehicles and staff vehicles) in and out of our premises.
  • Report if any irregularities are found.

9) General Housekeeping

  • The warehouse, perimeters and OTR/ORR plot/shed must be keep clean and tidy at all times.
  • Office area must be clean and neat, with proper filing and paperwork keep in the correct cabinets.
  • All trash bins within the warehouse and outside, to be cleared on a daily basis.
