    About the Role:

    The Front Office Coordinator serves as the face of the organization, welcoming visitors, clients, and employees while ensuring smooth day-to-day operations of the front desk.

    Key Responsibilities:

    1. Front Desk Management: Greet and welcome visitors in a friendly and professional manner. Answer and route incoming calls promptly and accurately. Maintain a clean, organized, and presentable reception area.
    2. Visitor Management: Register and manage visitor access by following security and company protocols. Notify staff of guest arrivals and ensure proper guidance to meeting locations.
    3. Administrative Support: Handle incoming and outgoing mail, courier services, and deliveries. Schedule and coordinate appointments, meetings, and conference room bookings. Assist with clerical duties such as data entry and record maintenance. Prepare purchase orders on the accounting software and follow up on payment of those orders.
    4. Communication Coordination: Manage emails and correspondence, directing them to the appropriate personnel or departments. Act as a liaison between clients, visitors, and staff.
    5. Office Administration: Monitor office supplies and coordinate restocking as needed.
    6. Collaboration: Work closely with various departments to ensure smooth office operations.

    Requirements:

    1. Proven experience as a receptionist, front desk representative, or in a similar role.
    2. Friendly and professional demeanor with a customer-focused approach.
    3. Strong organizational and multitasking abilities.
    4. Strong command of English language.
    5. Ability to speak additional South African languages is advantageous.
    6. Excellent verbal and written communication skills.
    7. Proficient in office software (e.g., Microsoft Office Suite, Google Workspace).
    8. Ability to handle confidential information with discretion.
