Executive PA/ Guest House Manager


One of my clients based in Rondebosch and in the CBD, is looking for an Executive PA/ Guest House Manager to join their fast-paced and diverse company, originally founded in the UK, with interests in Cape Town and the wider South African regions.

This role involves working closely with one of the most Senior Executives in the group. The role will have many different aspects and challenges with a focus on pace and urgency. Due to the mixed nature of the role, every day is different.


Requirements to fit this role

  • Valid South African driver's licence
  • Matric certificate
  • Marketing and Social Media background experience
  • Certificates or Diploma in Secretarial
  • Knowledge of running a property Industry will be good
  • Guest House Management experiences will be a huge plus
  • Executive PA experiences is essential


  • First language

  • English and adequately proficient in Afrikaans

Role and Responsibility

  • Office administration (calendars, typing, printing, bookings etc).
  • Villa management (maintenance (e.g. pool servicing, car servicing), general upkeep (timeclocks, alarm, DSTV etc), supplies stocking and inventory records, managing domestics staff).
  • Manage alarms, DSTV, car servicing, internet, Eskom top up, water management, read meters, internal communication radios and other household issues.
  • Liaising with contacts, colleagues, associates and peer group.
  • Note taking and minuting at meetings, and meeting follow up.
  • Airport collections/pickups/dropoffs.
  • Arrange annual equipment servicing and replacements.
  • Staff training and handling HR matters including hiring and contract negotiation.
  • Assist in a new residential redevelopment.
  • Manage subcontractors and service contractors. Obtain quotes from suppliers.
  • Sourcing goods in close liaison with owners and decern quality and cost competitiveness.
  • Organise occasional social events, including sourcing food/refreshments or arranging catering (incl temporary staff if needed).
  • May be required to travel to other properties in South Africa to liaise with management and assist with various matters.
  • Coordinate neighbourhood matters such as planning issues and general security matters etc,
  • Marketing assistance in collaboration with commercial office team.
  • Organising and managing the letting of residential properties
  • Identify new local citybased interests such as restaurants, shops, galleries etc.
  • Take responsibility for emergency situations such as triggered alarm etc.
  • Work flexibly and dedicate the necessary hours to fulfill the role.
