Job Purpose:


To assist the Head of Shared Services in delivering results across all aspects of Shared services in the SAGA region, by providing focused and collaborative support.


Accountabilities 1 of 4:


Lead and implement shared services synergy projects:

  • Understand the Executive's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
  • Take responsibility and lead all phases of special projects, from feasibility, identifying best in class options, designing and tracking of the project plan, to final implementation
  • Reporting to key stakeholders on progress and tracking impact of completed projects.
  • Exercise independent judgement and discretion to ensure optimal work and information flow.
  • Create, update and circulate (as directed) reports, presentations, and any relevant communication using Excel, PowerPoint, Word and Outlook.
  • Establish and maintain relationships with internal and external stakeholders.
  • Identify, implement, manage and report on cost saving initiatives.
  • Initial projects will include: 1. Run a RFP process for all SAGA nonstock vendors, to ensure cost effectiveness and reliability of supply, as well as consolidating the approved vendors to a maximum of 3 per supply category. 2. Identify and implement SAP efficiency improvements, incl 3rd party stock management 3. Monitor and identify logistics improvements
  • Annual price negotiations with all nonstock vendors
  • PO and Cimmra approvals, as defined in the DOA

Accountabilities 2 of 4:


Internal Agency:


  • Monthly Management reporting for all Internal Agency activities, incl 1. Actual vs Budget, 2. Savings vs prior year, 3. Efficiency measurement, 4. Training spend vs budget, 5. ROI
  • Vendor rationalization
  • Centralised procurement for all marketing spend, to achieve economies of scale
  • Evaluate Inhouse vs Outsource spend, approving all outsource spend
  • Evaluate and improve current marketing material logistics model

Accountabilities 3 of 4:


Track and improve Shared Services and Procurement efficiency and effectiveness:

  • Develop, maintain, monitor and review performance indicators relating to the efficiency and effectiveness of the organization's procurement and shared services function, recommending and implementing corrective action where required.
  • Initial projects will include: Nonstock vendor RFP project, A&P vendor consolidation

Accountabilities 4 of 4:


Plan and execute Compliance and Control audits:

  • Compliance checking and verification of audit comments.
  • Fraud prevention: Risk identification and mitigation.
  • AP Vendor data verification.
  • Request for proposal (RFP) process and price checking.
  • Delegation of Authority (DOA) adherence

Education Qualification:

CA(SA) or similar Procurement/Supply Chain qualification


Relevant Work Experience:


  • 10 years Financial Management or Project/Procurement/Supply Chain experience
  • 5 years SAP experience
  • Advanced Microsoft Excel and PowerPoint Skills
