    Job Summary

    We are seeking an Administrative Assistant to provide support to the Human Resource Department. The successful candidate will be responsible for providing effective and efficient administrative functions, including maintenance of organizational structures and job descriptions, coordination of HR projects, and management of personnel files.

    Key Responsibilities

    1. Maintain and update organizational structures and job descriptions.
    2. Coordinate local and global HR projects/initiatives as required.
    3. Capture and maintain data on local and global HR projects/initiatives.
    4. Support the Human Resource Business Partner with all audits in the HR Department.
    5. Assist with internal HR audits (HR & Payroll Division) on systems and personnel files.
    6. Support the Human Resource Business Partner with administrative requirements.
    7. Maintain and update personnel files.
    8. Update and maintain Payspace, including electronic filing and contract renewals.
    9. Capture new engagements, promotions, transfers, and terminations on Payspace.
    10. Update banking details and other changes on the payroll system.
    11. Review and update HR documentation, including engagement packs and contracts of employment.
    12. Maintain the electronic filing system on HR Sharepoint.
    13. Ensure quality, efficiency, and confidentiality within the HR function.
    14. Adhere to all quality and safety requirements of the SGS management system.
    15. Perform other reasonable tasks assigned by the direct line manager.
    16. Complete ad hoc administrative tasks within the HR department.


    Requirements

    1. Minimum academic qualification: Grade 12.
    2. HR qualification advantageous.


    Preferred Experience

    1. Minimum 2-year experience in administration.

    1. Good communication and interpersonal skills.
    2. Service delivery culture.
    3. Well-developed administrative, problem-solving, planning, and organizational skills.
    4. Hands-on and practical approach with attention to detail.
    5. Able to work under pressure.
    6. Self-motivated and high level of initiative.
    7. Excellent computer literacy (Word, Excel, PowerPoint & Outlook).
    8. Proficiency in English (read, speak, write).
    9. Knowledge of process flow within a professional environment.
