Description
Duties/Pligte
- Personal assistant to the Director and the Deputy Director which includes diary management and scheduling meetings;
- Administering the strategic calendar of the Division;
- Responsible for general office arrangements;
- Taking minutes of meetings and distributing it according to agreed timeframes;
- Providing administrative support to all staff within the Division;
- Providing administrative support to the facilities manager of the Old Luckhoff building;
- Completing requisitions and payments on behalf of the Division;
- Arranging transport and accommodation for colleagues and guests of the Division;
- Receiving guests and dealing with general enquiries;
- Responsible for the administration and logistics of functions in collaboration with the different units within the Division;
- Responsible for overall office supervision, including coordinating cleaning service support to the Division;
- Performing general administrative tasks, including distributing and writing of reports, memos and letters as per instruction.

- Koördineer die strategiese kalender en notules tydens vergaderings;
- Verantwoordelik vir die algemene reëlings in die kantoor;
- Neem van notules en verspreiding daarvan volgens vasgestelde tydperke;
- Bied administratiewe steun aan alle personeel binne die Afdeling;
- Bied administratiewe ondersteuning aan die fasiliteitsbestuurder van die Ou Luckhoff gebou;
- Voltooi rekwisisies en betalings namens die Afdeling;
- Tref reis
- en verblyfreëlings vir kollegas en gaste van die Afdeling;
- Ontvang gaste en hanteer algemene navrae;
- Verantwoordelik vir die logistieke en organisering van funksies in samewerking met die verskillende eenhede binne die Afdeling;
- Verantwoordelik vir oorhoofse kantoortoesig, met inbegrip van skoonmaakdienssteun aan die Afdeling;
- Verrig algemene administratiewe take, insluitend verspreiding en skryf van verslae, memo's, en briewe volgens instruksies.

Job Requirements/Pos Vereistes
- Matric;
- At least two years' secretarial and/or administrative experience;
- Excellent verbal and written communication skills;
- The ability to liaise appropriately with individuals within and outside the University;
- Proven knowledge and extended experience of the use of administrative and financial computer systems;
- Independence and accuracy in performing tasks;
- Proven computer proficiency in the use of the Microsoft Office package (Word, Excel, PowerPoint and Outlook);
- High-level organisational skills with the proven ability to prioritise;
- Outstanding interpersonal skills.
- Matriek;
- Minstens twee jaar se sekretariële en/of administratiewe ervaring;
- Uitstekende mondelinge en skriftelike kommunikasievaardighede;
- Die vermoë om op gepaste wyse met persone binne en buite die Universiteit te skakel;
- Bewese kennis en uitgebreide ervaring van die gebruik van administratiewe en finansiële rekenaarstelsels;
- Selfstandigheid en akkuraatheid met die uitvoering van take;
- Bewese rekenaarvaardigheid in die Microsoft Office-pakket (Word, Excel, PowerPoint en Outlook);
- Hoëvlak-organisasievaardighede met die bewese vermoë om te kan prioritiseer;
- Uitstekende interpersoonlikevaardighede.

Recommendation/Aanbeveling
- Experience with TeraTerm software.
- Ervaring van TeraTerm-sagteware.
