Description

The Executive Assistant to the CEO will provide high level administrative and secretarial support to ensure that the office of the CEO runs smoothly and that the CEO is kept up to date on all committments and responsibilities.


Diary Management
Co-ordinate all day-to-day activities of the CEO.

Schedule appointments and meetings.

Prioritise meetings and appointments based on the CEO's schedule and priorities.

Arrange and co-ordinate requirements for meetings, visits, events and presentations.


Communication
Be the primary point of contact for internal and external communication:

  • answer phone calls, and
- handle enquiries on behalf of the CEO.


Meetings
Organise and book the meeting/boardroom.

Make sure the meeting room is set up and equipped with required technology.

Arrange refreshments for boardroom meetings.

Timeously provide agendas, minutes and other material needed for meetings.

Take minutes of meetings, distribute and co-ordinate effectively.


Administration
Assist the CEO with administrative and secretarial activities (like drafting of correspondence, preparing reports, presentations and other documents).

Remind the CEO of matters requiring action with regard to meetings and correspondence.

Assist with Board and Exco activities.

Maintain and organise files, records and databases.


Travel arrangements
Arrange the CEO's travel, including the booking of flights, accommodations and transport.

Prepare travel itineraries.

Make sure the CEO has all the required documents and information for his trips.


Expense Management
Manage CEO's expense reports, such as tracking expenses, verifying receipts and submitting reports timeously.

Update petty cash returns fortnightly and monthly.


Project Support
Assist with various projects.

Conduct research, gather data, and prepare reports to aid decision-making and project implementation.


Relationship Management
Build and maintain positive relationships with all stakeholders.


Team Support
Work with other administrative staff and team members to enable smooth functioning of the business.

Lend backup support to other administrative staff members when required.


Job Types:
Full-time, Permanent


Salary:
Up to R20 000,00 per month
