    Job Summary

    The Event Coordinator role is a dynamic position that requires strong organizational and communication skills to ensure the smooth execution of events and meetings at the Huawei Office Park. The successful candidate will be responsible for coordinating events, meetings, and services, while maintaining a customer-focused attitude and ensuring timely delivery of results.

    Key Responsibilities

    1. Operational Delivery
      • Assist in coordinating events and meetings for the Huawei Office Park.
      • Coordinate AV/VC setup requirements with the Technical team.
      • Coordinate all services during events (setup, stationery, catering, beverages etc).
      • Liaise with the catering company regarding event and meeting requirements.
      • Liaise with Huawei events team regarding event/meeting requirements.
      • Ensure room setups meet client specifications.
      • Refresh water bottles regularly and provide clean glasses as needed.
      • Book catering on the system as required.
      • Clear and tidy rooms after each event or meeting.
      • Report over-flowing dustbins and cleaning issues to the cleaning team.
      • Report and hand in lost property found in meeting rooms to security.
    2. Contractual Delivery
      • Ensure coordination of final setting-up of areas in preparation for events services.
      • Provide table settings and decoration, agreed upon by Huawei.
      • Clear food, crockery, cutlery, and glassware from rooms after events.
      • Ensure rooms are cleared within 2 hours of delivery or completion of the meeting.
      • Collect used tableware, crockery, cutlery, etc., at a time agreed with the recipient of the service.
      • Coordinate furniture retrieval and preparation, delivery, and setup.
    3. Customer Focus
      • Develop and maintain a customer-focused attitude toward activities.
      • Interact with clients to provide and process information in response to inquiries, concerns, and requests.
      • Stay up-to-date with business developments and strategic objectives.
      • Provide advice on general changes and compliance within the workplace management framework.
      • Enhance operational efficiencies and performance through processes and procedures.
      • Attend to and resolve customer queries timeously or escalate when necessary.
      • Follow up and follow through on escalated queries timeously.
      • Manage conflict.
      • Ensure events are planned at least 48 hours prior to the meeting.
      • Manage issues raised and take action to prevent recurring issues.
    4. Reporting
      • Assist in preparing monthly reporting within set timeframes.
    5. Code Of Conduct
      • Undertake other responsibilities as directed by Management to drive sustainability.
      • Work flexibly to undertake tasks not specifically covered in the job description.
      • Take responsibility for one's own performance.
      • Promote TFS's & Huawei's image and corporate citizenry through deliberate and coordinated activities.
      • Adhere to TFS's SHEQ Management System Policies & Procedures applicable to this position.
      • Ensure adherence to TFS ethical values.
    6. Skills and Competencies
      • MS Office Suite proficiency.
      • English language proficiency; knowledge of additional languages is a plus.
      • Customer-oriented and professional attitude.
      • Outstanding communication skills.
      • Excellent organizational and time-management skills.
      • Hospitality and customer centric focus.
      • Bilingual.
      • Knowledge and understanding of SLA.
      • High degree of computer literacy (MS Word, Power Point, Excel).

    7. Qualifications
      • Grade 12 qualification (non-negotiable) plus tertiary qualification in Marketing or Public Relations.
      • 3 years events experience.
      • Computer literacy in MS Office Suite.
      • Minimum 3 years' experience coordinating events in a similar environment.
