Support logistic preparations for Generation Equality Paris Forum ensuring a consistent approach across GEF events

  • Provide support with preparatory and logistical elements needed for Forum events and track progress against the work plan;
  • Liaise regularly with focal points in different sectors, designated event management companies and UN Women colleagues to ensure the Generation Equality Forum Action Coalition events adopt a consistent approach and address all logistical and security needs as set by UN Women and the overall Core Group;
  • Develop and/or maintain documents and tools such as checklists, research documents, weekly status updates and databases to organise information about Forum logistics;
  • Coordinate and manage UN Women colleagues’ participation in the Forum, including by developing requirements for participation, drafting guidance notes and compiling list of UN Women participants list;
  • Identify, establish and maintain contacts with government officials, other UN agencies, non-governmental organisations, civil society organizations etc. that could provide a significant support in the planning and organisation of the Forum and ensure appropriate mechanisms to facilitate collaboration and exchange of information;
  • Respond to requests of relevant external stakeholders regarding updates on Forum preparations and provide guidance and support to UN Women colleagues for their participation in the Forums, including requirements for participation, and practical information.
  • Establish positioning, identify target audiences, and develop marketing plans with specific objectives across different channels and segments.
  • Lead the execution of marketing programs from start to finish, leveraging internal support and driving collaboration.
  • Analyse customer insights, consumer trends, market analysis, and marketing best practices to build successful strategies.
  • Create, maintain, and conduct analytics reporting across multiple platforms and extract key insights for future campaign development and go-to-market strategies, complete with formal proposals and recommendations on tactics.

Reporting Consultant

  • Provide support to results-based reporting and evaluation of the activities under the UN Women AWOME Programme and EVAW Programme.
  • Contribute to drafting and finalization of various reports from national to international level, based on UN Women’s Manual and donor requirements.

SAMCO Retreat Coordinator and Rapporteur 

  • Planning, Liaising with key departments of the UN on all logistical aspects of the UN Women SAMCO 2021 retreat planning and implementation;
  • Planning and facilitating logistics for all events, including drafting of a work plan, develop programme, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, and marketing materials;
  • Organises regular team meetings and conference calls/video-conferences, often over different time zones, including the preparation and distribution of documents and providing the necessary technical devices
  • Incorporating feedback from the Retreat Organising committee to ensure that the retreat achieves intended objectives and results taking into consideration the local contexts;

Women’s economic empowerment (wee) Programme assistant, UN WOMEN

  • Maintains confidential records for the Programme Specialist and the WEE team, 
  • Acts as the main contact person during the absence of team members, following-up on any emergencies with appropriate in-house staff, and sharing workload with programme assistants from other teams
  • In collaboration with UN members and the corporate sector; developing and implementing of strategic documents for the Women Empowerment Principles and the Unstereotype Alliance
  • Acknowledges receipt of correspondence and documentation in the absence of Programme Specialist or programme staff, and drafts preliminary versions of correspondence to be signed by the Programme leader or relevant programme staff
  • Assists other team members in preparing and formatting documents, including PowerPoint presentations
  • Develops and maintains an efficient filing system for the team, including assistance in processing calls for proposals as required
  • Maintains a tracking system of responses to proposals

  • Communicates with travel agency to obtain estimated fares and calculates per diems
  • Requests the issuance of visas by contacting the appropriate embassy and prepares supporting travel documents
  • Responsible for formatting, distribution and filing of mission reports

Workshops and Events

  • Liaises with members of other host organisations to coordinate logistical arrangements for workshops that take place in different provinces or countries
  • Liaises with and assists project recipients and consultants as required to ensure smooth functioning of activities
