About Thobeka Chipululu:
I am a 35-year-old female, with a passion for Quality. I studied Bachelor of Technology in Quality with the University of Johannesburg. I’ve gained plentiful skills and experience with operating point of production systems per industrial requirements, and specification. I try to meet set targets in an organization. I would like to bring my skills and Quality knowledge to your company to take my career to the next level.
I am a highly determined and self-motivated individual who aims to achieve the best in everything I do. I am confident that with my skills and experience that I have gained academically and through my previous and current employment. I am currently working in the Gauteng Department of Education as a Quality and Compliance Officer. My duties are as follows:
- to ensure that standards and safety regulations are observed.
- Address and discuss issues and propose solutions with the superiors.
- Monitor service levels as per the requirements
- Consolidating and compiling reports daily
- Document quality assurance activities and assist with compiling audit reports.
- Make recommendations for improvement.
- Create training materials and operating manuals.
- Interpret and assist with the implementation of quality standards.
- Assist with the evaluation of products and materials to ensure quality.
- Documenting audits and inspections, investigating complaints and developing a remedial action.
- Assist with developing quality assurance policies, procedures, work instructions and standard operating procedures, and being fully aware of Health and Safety and relevant guidelines.
DRAFTING OF AUDIT REPORTS, CONTRACTS, RESPONSE LETTERS AND MEMOS TO INTERNAL AND EXTERNAL STAKEHOLDERS:
- Assist in completion of internal audits to ensure compliance with contractual obligations and continuous improvement opportunities.
- Assist the Project manager with drafting of contracts for service providers.
- Responding to the letters sent by stakeholders. Email responses to the respective stakeholders, file on a weekly basis every.
PROVIDE ADMINISTRATIVE SUPPORT SERVICES TO THE OFFICE:
- Carry out tasks that are delegated from time to time.
- Attending to calls and referring to the relevant directorate.
- Assisting with referring the correspondence for response to the relevant directorates/Units.
- Collect and coordinate all documents/Information that comply with and enforce all Policies and Procedures
PROCUREMENT AND OFFICE DOCUMENT MANAGEMENT COMPLETED:
- Manage procurement of production activities and identify shortages.
- Ensure compliance with relevant loss as per the National Treasury Regulation
- Manage Petty cash and Processing of RLS01/RLS02
- Manage Inventory reports.
REFERRING, FOLLOWING UP AND REPORTING ON CHAPTER 9 INSTITUTIONS:
- Refer matters to the relevant directorate.
- Follow - up and close matters that have been resolved.
- Send reminder for matters that are outstanding and due.
IMPLEMENT AND PARTICIPATE IN THE MAINTENANCE OF THE ADMINISTRATIVE SYSTEMS AND PROCEDURES FOR THE OFFICE:
- Develop systems and procedures for the office.
- Obtain existing systems and procedure manual and refer to them on ongoing basis (File plan Ms Document).
- Document and improve the system and procedures (correspondence).
- Identify and support continuous improvement activities which lead to providing information of priorities.
- Attend regular workshops and training for administrative staff.
- Coordinate and submit the performance agreements and assessments for the HOD staff in line with PMDS policy.
- Participate in the Continuous Improvement by assisting with identifying, correcting, monitoring, and evaluating activities to improve internal and external customer service.
REPORT ON ACTIVITIES AS PER THE PERFORMANCE AGREEMENT:
- Monthly work recorded and reported.
- Advise and provide accurate data
DOCUMENT MANAGEMENT
- Maintain the electronic management system reporting tool track and ensure non-conformance reports and corrective actions are actioned and verified in the appropriate timeframe.
- Document management and clear understanding of confidentiality clauses
- Manage the filing system in line with the Departmental filing system prescripts and MISS.
- Develop and maintain backup filing systems.
- Manage correspondence.
- Refer matters to the relevant units, GPG Departments and follow-up on the progress.
