STUDENT SUPPORT SERVICES SECTION 

 Present a professional, helpful atmosphere and positive attitude for SSS students, staff, visitors and callers.  Assisting students to check their bursary application status online  Issuing and receiving bursary application forms  Issuing notice to the students  Capturing of bursaries application forms  Analyse and inform bursary applicants about the outcomes of their applications.  Screening bursary allowance application forms and inform students who do not qualify.  Create spread sheet for all types of allowance  Printing results and financial statements using Coltech System  Verification of control sheets and claims forms  Maintain student records, update participant files and information as needed, as well as assist Student Access (data management system).  Support SSS Coordinator with the grant's federal annual performance review (APR).  Coordinate travel and all travel related arrangements (accommodations, conference registrations, etc.) for staff and participating students  Handle routine tasks pertaining to the successful execution of the program, including submitting work orders, obtaining hospitality items and setting up as needed.  Assist with the supervision of' volunteers, educational aides and work study student  Answering internal and external telephone calls  Filling bursary applications, declaration letters and SRC documents  Issuing practical letters and log books  Consolidate reports on all bursary and financial aid allocations for the entire college.  Maintain up-to-date knowledge of college procedures and regulations as they pertain to college policies and daily grant operations 

SECRETARIAL SECTION

 Assist in receiving records and distributes all incoming and outgoing correspondences (faxes, letters and emails).  Managing sectional diary and electronics meeting  Arrange and share meeting calendar through emails  Assist in records keeping and filing documents  Arrange and coordinate sectional events  Assist in archive college files  Maintain student attendance register  Filing and record keeping  Taking minutes during meetings  Assist in checking records to ensure that they are on accurate reflection  Assist in providing administrative support to the HOD  Compile monthly reports 

ADMIN SECTION 

 Assist with preparing reports, presentations and briefs  Establish and maintain an appointment diary and arrangement of meetings  Assist in the compilation of the reports.  Provide information and respond to queries from students and external clients  Assist with the maintenance of an efficient filing system  Assisting with the controlling and capturing of lecturer absence register  Assist with handling of general enquiries of students, lectures and visitors  Deliver messages and memorandum to senior lecturers  Doing follow up to ensure that all student queries are finalized  Paste information on the boards notice 

ARRANGING VENUE AND CATERING SECTION 

 Booking venue for meetings  Assist in setting the venue as required  Assisting in checking if the speakers and projector are working  Assist in making travel arrangements (transport)  Preparing facilities for scheduled events and arranging refreshments 

MEETING ARRANGEMENTS SECTION

EXAMINATION AND REGISTRATION SECTION 

 Assist with the controlling and capturing lecturer absence register  Assist with the retrieving of certificates and diplomas requested by the students  Doing follow up to ensure that all student's queries are finalised  Assist with the verification of student registration forms  Assist with the capturing of student registration forms on the “Coltech system”  Assist with the printing of' student class list and student's cards  Print proof of registration and academic history of students  Assist with issuing of student preliminary list for enrolment  Assist with administrative duties during examination  Assist with capturing of 1CASS marks on “Coltech System”.  Assist with the capturing of application forms for markers for National Examination.  Filling the registration form alphabetically  Assist with the printing of student progress reports  Capture student's test and assignment marks on “Coltech System”  Issue student's exam timetable. 

RECEPTION AND PHOTOCOPY SECTION 

 Answering telephone calls and taking messages  Assist with the Photocopying of documents  Assist in dealing with queries from all staff, students, and visitors in a courteous and professional manner  Checking up on emails on a daily basis  Scheduling and confirming appointments for customers, clients and senior lecturers  Taking notes of important messages to senior lecturer  Keep visitors log book up to date  Assist in making quotation for the procurement  Assist with the prepare of the monthly report  Assist with the faxing, binding documents and also, scanning documents for electronic filing 

HUMAN RESOURCES MANAGEMENT SECTION 

 Assist in checking the leave forms and absenteeism register on a daily basis  Sending the leave forms to the 1tRM  Updating absenteeism register  Assist in checking copies of relevant leave forms 

COMPUTER USAGE IN THE OFFICE ENVIRONMENT 

 Typing letter, circulars and memos for distribution to staff and students  Assist in producing meeting documents  Create and maintain itinerary for educational specialist  Create table flyers for dignitaries for college events  Assist in designing event invitations and flyers  Maintain a computerized database of information on staff and students  Typing, formatting and editing reports 

PROCUREMENT SECTION
