Experience

• Take full ownership in the supply process of the Pierre Fabre products (full-size and samples for the PFDC, PFM and PFCHC entities) from sales forecasts to their conversion into demand, monitoring of the different stages sequenced into DRP system up to receipt of the products in local warehouse and returns from stores.
• Management of a third-party local logistics provider ensuring effective and efficient serve delivery of all logistics functions.
• Checking Edi’s portals continuously for new orders loaded
• Confirming orders correctly on said portals
• Obtaining orders via email
• Ensuring picking slip is generated to Stores for pulling of stock
• Ensure follow up on booked deliveries
• Preparing quotations as per request for Hospitals, Suppliers, Sales Representatives, Product Managers, and Business Unit Managers.
• Ensuring quotations are signed by an authorized signatory
• Assisting Sales Representatives, Product Managers and Business Unit Managers with queries regarding orders, back orders, invoices, urgent deliveries, etc.
• Providing copies of invoices and P.O.D’s where required
• Keeping the invoice tracker updated on a daily basis.
• Obtaining POD’s from 3PL and filing together with an invoice pack.
• Relieving on switchboard when required
• Assist with yearly stock take and cycle counts.
• Assist Finance with ad hoc functions
• Assist the Supply Chain Manager with Weekly report to International and local customers
• Assist where needed as per Managers’ instruction.
Supply planning:
• Manage supply plan according to country constraints and customers/partner’s needs while always optimizing the service rate and costs.
• Prepare and plan shipments with HO making sure that the orders are managed in compliance with costs, quality and priority.
• Code management: maintain and secure local product database with focus on data quality.
• Develop procedures for coordination of supply chain management with other functional areas, such as sales, marketing, finance, or quality assurance.
• Support release process of products once arrived in South Africa by providing necessary documentation.
• Review or update supply chain practices in accordance with new or changing environmental policies, standards, regulations, or laws.
• Anticipate and follow-up commercial operations or specific calendar events to determine their effect on supply chain activities and ensure an upstream preparation of all logistics flow stages (from supply to distribution).
Stock management for the full-size and sampling products:
• Ensure weekly reporting of stocks levels and markets demand per SKU in the DRP to effectively plan future requirements.
• Analyze inventories to optimize customer service and accuracy of ERP.
• Control internal use of stocks.
• Anticipate and manage potential shortages and plan accordingly. Inform in due time of all changes and novelties to the correspondent stakeholders (Customers)
• Coordinate the repacking of PFDC and PFCHC products when required.
• Identify obsolete products or soon to be short dated stock and prepare for action to be taken.
• Meet local and HO objectives in terms of stock rotation
3PL Management
• Manage relationships with the freight forwarding/logistics/distribution partners for optimized operating processes.
• Meet with 3PL to discuss performance metrics, to provide performance feedback, or to discuss production forecasts or changes.
• Implement new or improved supply chain processes.
• Monitor and evaluate 3PL storage, stock management and distribution practices.
Internal And External Relationships
• To maintain and manage the Pierre Fabre Representatives for their orders and needs.
• Position involving constant Communication with HO in France and local team/service providers.
• Compliance with the standards and procedures set by HO.
• Compliance with local regulatory.
• Have a sound knowledge of the 3pl processing
• Help in Finance should the need arise in processing of Credit notes, Tracking POD’s
• Planning for the mid-year and end-year stock.
• Assisting Customers with queries regarding orders, back orders, invoices, urgent deliveries, etc.6. CORE COMPETENCIES AND SKILLS
