  • Provide a welcoming, courteous and efficient reception service for students, visitors and contractors. 
  • Ensure that the reception area is welcoming, attractive and comfortable for visitors at all times and that, when appropriate, arrangements are made to meet individual needs. 
  • Implement booking-in arrangements for all visitors and contractors in accordance with agreed College procedures. 
  • Respond to enquiries from personal callers and direct students and visitors to appropriate locations on the site. 
  • Receive record and pass on enquiries to the appropriate person in a timely, efficient and courteous manner. 
  • Provide a service for the receipt and distribution of forms/leaflets and other information to students, staff and visitors, as required. 
  • Carry out a range of administrative tasks to support the Campus.
  • Receive and direct all incoming calls on a multiline phone system, taking messages and distributing all messages efficiently to relevant staff and others within the College community 
  • Receive and greet all visitors professionally, answering general questions where possible and referring specific enquiries to other staff where appropriate. Maintain the visitor register, ensuring that all visitors sign in appropriately and are given a visitor identification badge or carry some form of visual identification that meets the College requirements
  • Communicate with other Administration staff when the reception area is going to be unmanned and ensure that a back-up person has taken responsibility for the area during the College Receptionist’s absence 
  • Receive all incoming mail, courier packages and other deliveries not requiring special receipt by staff, and distribute all mail received.
  • Operate a variety of office equipment including a computer, fax machine and copier.
  • Perform word processing, formatting, photocopying, printing, binding, collating, distribution and filing of documents, reports, and packs in accordance with College procedures and style guides.
  • Ensures that files, records, documents, & stocks are appropriately maintained.
  • Ensure the operation and functionality of the office equipment utilized in the Administration areas of buildings and monitor paper, forms and other stocks in the workroom.
  • Undertake regular stockades of pre-printed stationery, and ensure that stock levels are adequate at all times based on previous usage
  • Coordinate student lost property, pro-actively ensuring the return of property to rightful owners

SCHEDULING

  • Organize accommodation and flight bookings for senior managers.
  • Manage schedules to ensure that Management arrives on time in meetings and events.
  • Preparing and maintaining manager’s itinerary and diary.
  • Maintenance of electronic calendar and diary with current meeting times and details of the event.

CORRESPONDENCE

  • Managing incoming and outgoing correspondences to and from Deputy Principal’s office.
  • Sorting through the correspondence and prioritizing important information.
  • Writing business letter under the direction of Deputy Principal.
  • Liaising effectively with all internal and external stakeholders of the TVET sector.
  • Management of office communication

DOCUMENT PREPARATION

  • Creating documents; spreadsheets or presentation that the Rector uses to run the College. 
  • Booking boardroom and conference facilities in preparation for meetings and events
  • Typing; e-mailing and dealing with queries.
  • Taking minutes at meeting and drawing up an action lists.

GENERAL OFFICE MANAGEMENT

  • General organizing of meetings, including drafting agendas
  • Filling of documents and reprography
  • Attending all incoming and outgoing telephone calls and e-mails.
  • Data capturing and order of stationery for the College.
  • Operating switchboard and ensure telephone etiquette is maintained
  • Sorting and distributing incoming post and organizing and sending outgoing post.
  • Organizing and storing paperwork; documents and computer-based information

National N Diploma in Management Assistant
