Duties
Manage updating of WCS
- Monitor and administer construction projects claims and payments.
- Collect/ receive invoices from registry services.
- Capture invoice on Re-a-Patala system.
- Forward the invoice to the relevant stakeholders.
- Identify discrepancies related to payment certificates.
- Update payments on WCS.
General Administration- Rendering support to Project Managers
- Keep the Project Manager(s) abreast with the budget adjustments as required.
- Attend, respond and redirect enquiries related to the project invoices and payments.
- Provide projects administrative support services to the Chief/Construction Project Managers.
- Administer office correspondence, documents and reports.
- Monitor, update and maintain the WCS and Re-a-Patala database.
- Disseminate status reports on the development of the project.
- Handle queries from consultants and contractors.
- Liaise with stakeholders relevant to the office.
General Administration- Front Office Assistance
- Diary Management
- Answering and screening telephone calls and taking messages
- Receiving visitors
- Answer queries and complaints from internal and external visitors
- Photocopying and scanning of documentation
- Updating databases / data capturing
- Typing correspondence and documentation
- Make relevant documents available for scheduled meetings
- Develop and maintain a document management/filing system
- Archive documents
- Monitoring and updating the asset register
- Maintain office equipment
Diary Management
- Manage and maintain the Director’s diary in terms of scheduling appointments, time management and keeping it up to date
- Set up meetings and venues via the electronic diary and keeping manual record thereof
Telephone Coverage
- Managing all incoming calls to the Director
- Screening all calls
- Taking messages
- Responding to voicemail messages
- Plan, co-ordinate and schedule executive and other meetings and functions
- Arrange teleconferences/ virtual meetings when necessary
