- Oversight of the catalytic projects funded by the JDMA throughout the WesternCape
- Oversee and ensure the provision of the secretariat and administrative function for all District/Metro JDMA coordinating structure meetings, forums and teams
- Ensure all relevantlogistics for meetingsincluding follow up of agreed actions
- Provide a secretariat service for relevant meetings
- Update the JDMA dashboard monthly
- Ensure and advise on the effective flow of information and documents
- Obtain inputs, collate and compile reports such as progress reports, monthly reports and management reports
- Ensure the safekeeping of all documentation in the office
- Support the manager with the administration of the budget
- Screen complainants in person or telephonically
- Registering the complaints onto the Complaints Management System
- Post/e-mail a systemgenerated letter to the complainant acknowledging receipt of his/her complaint
- Scheduled intake meetings with the screening committee to determine whether the various complaints of clients is aligned with the mandate of the Ombudsman's office
- Administer the minutes of the intake meetings
- Post/email a systemgenerated letter to the complainant detailing the Investigating Officer's details for any enquiries relating to his/her complaint
- Open a file for the complaint attaching a copy of the acknowledgement letter and Investigating Officer's letter and had it to the allocated Investigating Officer
- Information gathering through follow-ups with complainants
- Visits to the CSCs to collect copies of dockets, statements and analyzing CCTV footage
- Compile internal memos, notification letters and reports
- Updating of various registers and databases, namely, leave, payments and correspondence
- Compiled various documents to be routed throughout the Department of Community Safety
- Liaise with suppliers for quotations
- Responsible for all finance, auxiliary and human resource functions
- General office administration on an ad-hoc basis.
Planning and Coordination: Oversee the deployment of security personnel and resources across various client sites, ensuring optimal coverage and response times.
Client Relations: Act as the point of contact for clients, ensuring that services meet client expectations and contractual obligations. Handle client complaints and requests.
Compliance and Regulatory Adherence: Ensure that the security company complies with South African regulations, such as the Private Security Industry Regulatory Authority (PSIRA) requirements, health and safety laws, and other relevant legal frameworks.
Budgeting and Cost Management: Manage the operational budget for security services, including labor costs, equipment purchases, and site-specific expenses. Optimize resource allocation to maximize profitability.
Recruitment and Training: Oversee the hiring, training, and development of security personnel. Ensure staff are trained according to industry standards and remain compliant with PSIRA regulations.
Supervision and Performance Management: Monitor the performance of security personnel, conducting regular reviews, and addressing any issues related to discipline, professionalism, or performance.
Risk Assessment and Security Audits: Conduct site-specific risk assessments and security audits to identify vulnerabilities and implement appropriate security measures.
Incident Response and Management: Coordinate response strategies for security incidents such as theft, trespassing, or emergencies. Ensure that proper protocols are followed and incidents are reported accurately.
Technology and Equipment Management: Oversee the procurement, maintenance, and operation of security technology such as CCTV systems, alarms, and communication equipment.
