About Disebo Mofokeng:
Provide secretariat support to the unit; general office administration, which includes to- receive telephone calls and exercise discretion; handle queries; perform advanced typing; ensure effective flow of information and documents to and from the unit. Arrange and schedule meetings; confirm appointments; preparation of agendas and record keeping of meetings; book venues and handle arrangements for meetings and workshops.
Experience
Provide and manage office admin support services in the unit.
- Plan, organize and control admin activities pertaining to the unit
- Consolidate quarterly reports for submission to strategic planning unit, as required by PFMA & National health act.
- Manage the effective functioning of the entire office administration service
- Ensure accuracy of submissions from units to Chief Director.
- Manage and control all documents received by the office of the Deputy Director.
- Ensure that all submission are registered and distributed within 48 hours
- Ensure that all other general documents are registered on a database and distributed within 48 hours.
- Liaise with Government, Non-Government and public sector.
- Establish & maintain good relations with the Department officials and stakeholders. Develop relationship across diverse group of stakeholders
- Manage the flow of documents within the office.
- Provide office support service e.g. draft reports, letters and submissions for Chief Director signature.
