About Chloe Coombe:

I am a Human Resources Practitioner with a “can-do” attitude, currently studying towards my National Diploma in HR Management. I am in my third year of experience within the HR department in the Construction Industry. Currently the Eastern Cape regional HR Administrator for a National Building Construction firm, 400+ employees. Worked as a receptionist for a few years, during this time, I was noticed as the right fit for the HR Department and immediately fell in love with this career. I have since been mentored by the HR Manager of the region, who has not only provided me with exposure to the full HR Operational and Administrative function, but also to the more strategic HR best practices. I am a quick learner, hungry for this growth and my ability to remain objective but passionate with the right amount of empathy for my employees has proven to be a key cornerstone of the success in my current role.

Experience

• Extract reports from SAP for monthly reconciliations on members, member details, and to ensure members are in good standing,
• Disciplinary hearings & labour relations support,
• Drafting of policies and procedures for our members,
• Minute taking & other administrative, secretarial & accounting functions for the division,
• Financial reporting in monthly DEC meetings,
• Recruitment of potential new members for the division,
• Professional interaction and liaison with Bargaining Council agents and Trade Union Representatives,
• Handling & resolving queries from and behalf of members.

• Maintain the company’s online employee HR Information System,
• Annual submissions of WSP/ATR reporting,
• Create and conduct in-basket assessments,
• Conduct interviews alongside HR Manager and Line Manager,
• Conduct telephonic screening of CVs with candidates to short list candidates further for interviews,
• Plan and prepare all paperwork related to pre & post interviews,
• Chair disciplinary enquiries and close out all related paperwork,
• Create and implement the annual training plan,
• Schedule and track expiry dates of employee’s annual medicals,
• Co-ordinate logistics for training, interviews, annual medicals, meetings,
• Performance Management and implementing PIPs (Performance Improvement Plans)
• Facilitation & training of managers to conduct meaningful authentic conversations with their employees,
• Making use of our national recruitment portal (DirectHire) to filter, screen and search for CVs, as well as ensure there is a ”pipeline” for future vacancies,
• Preparing all departments documentation for ISO 9001 audits,
• BBBEE submissions and future planning,
• Participating in and minute taking of quarterly employment equity meetings,
• Ensuring all wage and salary employee files are up to date and compliant.
• Wage employee payroll hours processing bi-monthly,
• Conduct all onboarding presentations for all levels of staff entering the organization and ensuring all equipment is ready for them on day 1,
• Conduct all offboarding interviews with staff exiting the organization, to extract useful information for management to assist in retaining staff.
• Drafting the annual training plan for the year, and implementing the plan,
• Processing of employee benefits (Medical Aid, Pension & Provident Fund) upon entering the organization, as well as exiting the employee from the various funds upon resignation or dismissal, as well as upon retirement.

• Answering of the switchboard and transferring all calls to the appropriate person,
• Creation of a weekly wage cost hours worked and legal liability headcount, and submission of this tracker with detailed analysis to senior management weekly,
• Maintain the biometric system and submitting wage hours to the payroll administrator on a weekly basis,
• Maintaining all employees contact details and ensuring all is up to date,
• Cleanliness of the reception area,
• Assisting the HR and Finance department with general admin,
• Assisting with setting up of meetings in the boardrooms.
