Job Description:


General Administration

  • Assist in finalising contracts between clients and employees, Sub-Consultants, and permanent employees.
  • Marketing material creation of material, promoting of flagship projects, professional photographer liaison for CI projects
  • Preparation of monthly Civil Infrastructure Management Meeting presentations, including financial aspect
  • Preparation of monthly Civil Infrastructure Staff Meeting presentations

Project Administration

  • Assist Project Managers and Design Teams with overall administrative and management of projects including deliverable tracking, design queries, proof reading, procurement and ensuring all Team members have a thorough understanding of their role and requirements
  • Understand the deliverables of each project and ensure timely submission of reports, payment certificates, status updates, financial requirements
  • Attend to correspondence with Clients and Consultants, followup on requests and responses
  • Attend to internal procedures, reporting and Quality Assurance on projects
  • Complete. Maintain and update Sub-Consultant appointments
  • Development and management of document tracking process
  • Issuing of technical drawings and registers
  • Opening of new projects and tasks, including all quality related processes and procedures
  • Ensuring each new and existing project has an open folder in ProjectWise (project data base), providing access to all Team members and ensuring the correct filing systems are in place
  • Preparation of VOs & COs Motivation and Valuations, project presentations, status reports, ensuring client processes are followed (asbuilt drawings, materials reports' etc.)
  • Formatting and reviewing of Reports, Documentation to Client.
  • Certificate procedures and issuing thereof
  • Preparation of Minutes of Meetings, distribution, and approvals

Financial Management

  • Monitor unbilled report on weekly basis
  • Preparation of Fee Proposals related to new projects; updates to Consultant Fees as well as Sub-Consultant
  • Conversant with Invoicing for SANRAL, WCG
  • Preparation of invoices/credit notes for SANRAL, WCG
  • Monitor and advise on invoices from subconsultants/suppliers
  • Payment certificates from Contractor to client (management)

Qualifications:


  • National Senior Certificate (Grade 12)
  • 5+ Years experience within the built environment in a similar role
