Main purpose / objective of the position:

Reporting to the Marketing Manager, the Marketing Assistant is responsible for managing all the daily activities of and providing sound administrative support to the Marketing Department.


Decision making authority:

Required to choose from a limited array of routines or rules at his / her disposal. Works according to specific standard procedures.


Experience / Education:

Relevant Marketing qualification. A minimum of 2 years' experience preferential.


Skills required:


  • Have a clear and thorough knowledge of marketing principles
  • Preferably have Centre retail marketing experience (but not essential)
  • Understand and have experience in dealing with related fields advertising, PR, on line, social media, media in general, events and promotions
  • Must have attention to detail and excellent admin skills.
  • Must have an excellent command of English verbal & written.
  • Must be able to work under pressure and adhere to time lines.
  • Monitors progress toward objectives and adjusts plans as necessary to reach them
  • Identifies needs/problems, secures relevant information, relates data from different
  • Excellent computer and administration skills
  • Flexible and adaptable approach to work

Duties:


  • General office administration and coordination.
  • Gift card administration and support.
  • Public and tenant relations
  • Marketing coordination
  • Events planning, setup, coordination and reporting
  • Monitor exhibitors (to conform to required standards).
  • Manages and maintains relationships with tenants.
  • Prepares and quality control of marketing reporting
  • Financial administration supplier invoices and statements to be processed for payments
  • Oversees and generate briefs to agencies / promotional companies.
  • Approves creative work and schedules of agencies / promotional companies.
  • Attends to queries / complaints that were escalated to this level.
  • Ensures cooperation, synergy and effective communication between marketing and other departments
  • Pursue relevant strategic alliances and sponsorship opportunities
  • Assistance & quality control of newsletter to tenants.
  • Write and evaluate of press releases.
  • Ongoing liaison with center management (CM).
  • Keeps clients and colleagues informed of important incidents progress, plans, feedback, etc.
  • Create realistic expectations and meet them: appointments, promises, followup, queries
  • Networking, attending functions and meetings to raise awareness in the industry.

Deliverables:


  • Assist Marketing Manager as required by taking on tasks and responsibilities
  • Files documents and prepares status reports when and as required
  • Effects correspondence by writing letters and generating documents
  • Execute / implement events and attend events
  • Manage, administrate and oversee centre exhibition spaces for NGO's and community events
  • Manage incentre marketing opportunities
  • Manage centre marketing collateral and corporate gifts;
  • Manage centre marketing touch points daily
  • Data capturing, PR assistance, general tenant communication assistance
  • Social Media content creation and reporting as required
  • Control of blank gift card stock to and from info staff on a daily basis
  • Daily checking of completed gift card control sheets
  • Preparing corporate gift card invoices and preparing the order with holders on a daily basis when required
  • Handing up of corporate orders to corporates as instructed by corporate sales manager
  • Monitoring the stationery requirements of the info desk and ordering where required
  • Monitoring the G4S consumable stock control and ordering where required
  • Monthly process gift card stock, incl. monitoring of inventory levels
  • The liaison between tenant and/or shopper for Tutuka related queries
  • Assisting at info desk during lunch breaks or as required
  • Monitoring of info desk appearance
  • Assist tenants with requirements wrt marketing material
  • Setting up of venue for tenant functions, meetings, etc.
  • Collate and distribute tenant communication
  • Liaising with tenants wrt newsletter
  • Implements and reports on a structured tenant communication plan (including visits, proposals, general interaction, tenant meetings and other).
  • Marketing reports were accurate, complete, on time and in agreed format.
  • Problems / queries escalated to this level are dealt with effectively, to the satisfaction of the client where practically possible.
  • Effective cooperation between own and other departments achieved and maintained. Problems were dealt with effectively without delay
  • All major potential strategic alliances and sponsorship opportunities
