Duties & Responsibilities:


Project Management

  • Assisting in establishing a client's requirements and undertaking feasibility studies;
- performing risk and value management and cost control;
- advising on procurement strategy;
- preparing tender and contract documents, including bills of quantities, scope of works and engineering specifications;
- identifying, analysing and developing responses to commercial risks;
- maintaining awareness of the different building contracts in current use;

  • Manage all Engineering projects.
  • Prepare Bills of quantity (BOQ), Scope of Works (SOW) and specifications for projects
  • Engage suppliers for quotations and negotiate terms of contracts
  • Validating of quantities quoted
  • Preparation of benchmark rates
  • Ensure works are conducted according to the SOW/spec and sign off all works
- analysing outcomes and writing detailed progress reports;
- valuing completed work and arranging payments;
- undertaking costs analysis for repair and maintenance project work;

  • Prepare SLA for contractors and monitor their performance
- preparing and analysing costings for tenders;
- providing advice on contractual claims;

  • Ensure proper handover of documentation to the relevant recipients
  • Notify the asset manager of new assets and those replaced

Financial Management

  • Preparation and submission of annual CAPEX plans
  • Monitoring of expenditure against CAPEX plan

Staff Management

  • Provide a program of continuous inservice training for staff.
  • Conducts regular staff meetings with the technical team to ensure work is being conducted efficiently.
  • Provide assistance to the technical team for troubleshooting.
  • Ensure work schedules are in place and weekend work is scheduled accordingly.
  • Establish and maintain a good working relationship with management and staff for which you are responsible.
  • Attend to all IR related issues which may arise in the department

Contract Management

  • Day to day Management of the Contract Administrators
  • Ensure purchase order process is managed efficiently from the preparation of purchase requisitions to receipt of invoices
  • Ensure Contract administrators follow up on outstanding invoices and report regularly on outstanding documentation

Inventory management

  • Ensure inventory is managed in accordance with Client requirements and as per Client processes and procedures
- establishing and operating cost and financial control systems;


Skills and Competencies:


  • Indepth knowledge of contractual management systems and processes
  • Indepth knowledge of project management systems and processes
  • MS Office Suite
  • Knowledge of equipment, materials and suppliers used in facilities management.
  • Excellent client rapport
  • Excellent listening skills
  • Excellent writing skills (spelling and grammar)
  • Ability to accurately translate a verbal conversation into writing
  • Ability to deal with irate customers
  • Good time Management
  • Proficiency in English; knowledge of additional languages is a plus

Qualifications:


  • NQF 7 in Electrical, Mechanical or civil engineering
  • Alt NQF 7 Project Management
  • Alt NQF 7 Quantity Surveying

Government Certificate of Competency (GCC):

  • Must be eligible to register with Department of Labour as the Responsible person in charge of machinery
years practical technical and engineering experience in a Facilities Management or similar environment

  • Experience in the management of Technical Services of a large complex or multiple sites are essential.
  • Budgeting and cost control experience.
  • Computer Literate MS Office (MS Word, MS Excel, SharePoint, MS Outlook).
  • Specialist Skills and Knowledge
