Job Overview:

We are seeking a highly organised and experienced professional to join our team in the role of Senior Office Manager/Executive Assistant.

In this multifaceted position, you will serve as an integral member of our team, supporting the Managing Director and his team across all four businesses.

Your primary responsibility is to provide essential support to the Managing Director, ensuring their schedule is optimally managed, their communication is streamlined, and their daily tasks are efficiently executed.

Additionally, you will play a vital role in maintaining the smooth functioning of our office, overseeing various administrative tasks, facilitating basic bookkeeping and financial data capturing, and presenting these records to our external accountants every month.

You will also manage human resources-related activities, and foster collaboration among our teams.

While each of these businesses already boasts dedicated managers and operational teams, your presence is indispensable in aiding the Managing Director's daily involvement in these ventures, with a concentrated focus your role will be pivotal in ensuring the smooth execution of our operations across all businesses.


Key Responsibilities:

Executive Assistance (Similar to an Executive Personal Assistant):

  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Prepare reports, presentations, and other documents as needed.
  • Manage personal tasks and errands for the Managing Director, ensuring their efficiency and effectiveness.

Office Management:


  • Oversee office operations, ensuring efficiency and effectiveness.
  • Maintain office tools and resources.

Basic Bookkeeping and Financial Data Capturing:

  • Facilitate basic bookkeeping and financial data capturing.
  • Present financial records to external accountants every month.

Quotes and Invoices:


  • Assist in creating quotes and invoices, maintaining accuracy and compliance.

HR and Personnel Management:


  • Manage personal leave requests and HRrelated activities.
  • Verify wages for our venue staff.

Team Oversight:


  • Provide administrative support to our venue managers and promote team collaboration.

General Administrative Tasks:


  • Assist with any reasonable administrative tasks as needed within the company.

Qualifications:


  • Bachelor's degree in business administration, BCom, or related field preferred.
  • Proficiency in MS Office tools, including Word, Excel, and PowerPoint.
  • Proven experience in a similar role with a strong administrative focus.
  • Strong organisational, multitasking, and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Ability to work semiremotely with flexibility.
  • Attention to detail and a commitment to maintaining a high standard of professionalism.
