Description

The Project Manager plays a critical role in overseeing the entire project lifecycle process, ensuring successful planning, execution, and closure of projects.

Responsibilities:


Project Planning:


Collaborate with Sales Executive to prepare Scope of Work and Internal Brief, ensuring accurate estimation of project hours for client quotation.

Facilitate the transition from proposal to active project status upon opportunity acceptance and communicate payment terms to Finance.

Conduct Internal Handover Meeting from Sales team, providing essential project information to the Operations team.

Continuously keep stakeholders in the loop regarding upcoming projects along with ongoing communication regarding milestones on the project.

Project resource management and allocation ensuring the right IT Professionals are assigned to the right project and tasks. Manage the scheduling of the IT Professional to meet the deadlines of the project and tasks.

Compile and send Statement of Work to the client, highlighting project outcomes and potential concerns.


Project Execution:
Schedule and conduct Client Kick-off meeting to review the Statement of Work and ensure alignment with client expectations.

Manage the procurement process for projects, ensuring timely ordering of necessary products or subscriptions.

Coordinate with any third-party vendors or consultants to ensure their contributions are timely and within specifications.

Oversee technical work commencement, monitor progress, and address any project-related issues or scope changes promptly.

Monitor the schedule checking the project timeliness ensuring milestones are met and adjusting accordingly.


Facilitate regular client meetings to provide updates on project progress, discuss completed and upcoming tasks, and address any potential stumbling blocks.

Continuously manage and update project tasks, ensuring accurate status and resolution information, while keeping stakeholders informed.

Team check-ins by holding regular meetings to discuss progress, challenges, and next steps.

Quality assurance by coordinating with teams ensuring deliverables meet the set quality standards.

Projects Issues and Scope Creep Management

Monitoring for scope creep and managing any requested changes to projects scope.

Have a good understanding of technical work to identify project issues and manage the issue.

Identify any risks potential risks that could affect the project's trajectory.

Analyze and mitigate potential risks.


Project Closure:
Confirm the completion of technical work and request a Project Snag List from the client.

Conduct a Snag List Meeting with the client to finalize outstanding tasks and set a project close date.


Ensure all project documentation is up to date and the operations team is upskilled and ready for client support, performing necessary quality checks.


Schedule and conduct a Project Wrap Up Meeting with the client, gather feedback, and conduct internal debrief sessions to evaluate project performance.

Collaborate with Finance to reconcile billing, request final payment, and handle any necessary adjustments.


Additional Responsibilities:
Keep templates and project assets updated for future projects, ensuring continuous improvement in project management processes.

Archive completed projects for security purposes.

Review and submit project reports according to the agreed schedule and template.

Develop content and modules for training purposes on common project catalogue.

Arrange training sessions to upskill the internal team or introduce new tools and techniques.


Client/ End user training by organizing training for clients or end users to better utilize the tools or systems being implemented.

Organizing and participating in regular project-related meetings.


Requirements:


Role requirements:
IT/Project Management Degree or Diploma or related

5+ years' experience in a Project Management role in a Managed Services/Professional Services environment

Strong project management background, proven success in delivering projects on time, on budget and in scope.

Microsoft Certifications

Driver's License

R30, R50,000.00 per month
