Dispatch Supervisor - Roodepoort


Job Summary / Purpose:


The Despatch Supervisor is responsible for products to be securely loaded in correct quantities, good condition and correctly sent out accompanied with the correct documentation to the specified delivery areas.

Locking up and making sure all exit doors in the department are strictly controlled. NO open doors must be left unattended. Ensuring that a supervisor is always available in the warehouse. Security is of utmost importance.


Primary Responsibilities

Dispatch supervisors' primary responsibilities can be divided into 5 sections:

TEAM LEADER

  • To maintain a high professional and ethical profile in accordance with industry and company standards.
  • Ensuring Quality and food safety system and social accountability system requirements are adhered to.
  • Liaising with internal and external sales. Update on stock shortage for any deliveries, delays with deliveries, etc.
  • Maintaining order and discipline amongst the team i.e. tardiness, absenteeism, insubordination
  • Maintaining the right attitude towards work on good days and bad (when the team hears the leader complain they too complain, when the leader slows down, they too slow down morale plays a very big part not only in the amount of time it takes to get work done but also the quality of work)

WAREHOUSE RESPONSIBILITIES

  • Have the warehouse opened and ready for loading by 7 am daily. Closed once all work for the day is complete.
  • Participate in the month end stock take.
  • Housekeeping (this applies to all warehouses and areas left in our charge, it must be kept neat, clean and in proper order at all times)
  • Despatch must ALWAYS have a supervisor, if at any point all supervisors need to step away at the same time there must be a valid reason and despatch must then be closed till one of the supervisors become available

TRANSPORTATION
The company use many transporters for both our local and long-distance needs. We refer to them as outsourced.

Supervisors need to be able to maintain relationships with these transporters and their drivers as well as familiarize themselves with their areas, prices and services that they offer i.e., dedicated truck loads and consolidated loads.


TRUCKS, FORKLIFTS, AND OTHER RESOURCES

  • Do daily inspections on vehicles and forklifts before the working day begins.
  • Booking of services.
  • Ensure vehicles and equipment are used and maintained correctly.
  • Ensure records are effectively completed and provided to relevant people as per arrangement.
  • Capturing of the mileage report onto the system.
  • Any other resources used by supervisors or their respective teams will be the supervisor's responsibility and they are to make sure nothing is ever wasted.

DESPATCH PROCESS

  • Check quality of goods being sent out, have trucks loaded and preloaded.
  • Monitor deliveries and vehicles throughout the day using the tools available. E.g., iTrack.
  • Supervision of the loading and despatching process, local and export orders. Taking responsibility and liability for the stock quantities and condition of the stock loaded from the second the truck is opened until it is on route.
  • Processing of invoices, delivery notes, picking slips, interbranch transfers, credit notes, etc.
  • Ensure goods are despatched correctly to designated delivery points.
  • Liaise with drivers and assistants. Be aware of the status and ETAs of deliveries.
  • Set communication with drivers to ensure smooth delivery processes.
  • Plan deliveries, routes and spacing daily.
  • Plan long distance deliveries, spacing, hiring of vehicles, set delivery dates, and ensure goods are ready for despatch. Local and Export orders. Sending load cons to outsource transporters.
  • Track deliveries, re arrange routes where necessary.
  • Daily delivery updates local and long distance. WhatsApp group.
  • Oversee staff loading, proper procedures for loading to be followed. Accuracy.
  • Ensuring mandatory documentation is maintained and gathered as needed, pursuant to company policies and procedures.
  • Completing of the daily delivery schedule.

Secondary Responsibilities

  • Update senior management timeously.
  • General task as might be requested.
  • Lothlorien cardboard scrap. Follow up on replacement bin once full.
  • Saturday / Sunday work based on Company operational needs.
  • Must be flexible in terms of working times.
  • Cellular phone availability afterhours and on weekends as required.
  • Perform related duties as assigned or as the situation dictates.
