Are you a property administrator with experience in managing tenant profiles, and assisting with compiling information for budget purposes, from the retail sector? An exciting opportunity awaits the successful incumbent to join a dynamic and reputable company in Waterfall City, Midrand, who offers benefits and above average leave days.


Minimum Requirement

  • Matric.
  • 23 years of experience in a similar role within the retail.

Responsibilities

Lease Administration

  • Monitors and maintains standards, and procedures and policies to lease administration and capturing thereof onto the system.
  • Monitors the lease tracking register for the portfolio.
  • Coordinates commission claims and the approval thereof.
  • Manage tenant profiles on the system.

Tenant Transaction detail ledger

  • Prepares monthly journals for review by the Property Manager as input into tenant statements.
  • Prepares monthly journals, including adhoc utility files, and submits to Credit Controller.
  • Calculates and monitors turnover rentals on an annual basis.

Leasing

  • Provides administrative support with the occupation of new tenant leases as well as the renewal of existing leases.
  • Generates all offers to tenants as requested by the Property Manager.
  • Ensures that all documentation and regulatory requirements are adhered to for all leases.
  • Provide feedback to the Property Manager on upcoming expiring leases.

Centre Profitability

  • Provides support on the financial aspects of a specific property.
  • Annual budget
  • Loads accurate budget on the system as received from the Property Manager.
  • Assist with the preparation of annual budgets, income projection and expenses as well as items of a capital nature.
  • Valuation budget
  • Assists with the generation of the valuation budget to establish the value of a specific property.
  • Assist PM in reviewing recoveries and follow up on all shortfalls in recoveries.
  • Financial support
  • Assists with monthly management pack and submits draft to Property Manager for review.
  • Prepares Rolling forecast and updates assumptions to explain variances in actual versus budgeted amounts.
  • Investigates and provides explanations for any variances on income items.
  • Assist internal and external Auditors with any information required.
  • Prepares and provides nonfinancial information such as minutes, operational reports, or information required for marketing purposes.
  • Updates and maintains accurate information on the system.

Filing and Administration

  • Issuing of files after the lease have been loaded and authorised.
  • Archiving of vacated files.
