  • The HR Administrator will provide effective administrative support to the Capricorn and Mopani team in relation to all Human Resource related matters._

General HR Administration

  • Provide comprehensive and holistic HR Admin services to the HR team and programme on all aspects of HR from recruitment, Performance Management, Employee Relations etc.
  • Respond to HR queries and needs as they arise and refer to Provincial HRM when necessary
  • Prepare Workback agreement and submit to payroll
  • Generate standard letters of confirmation of employment as required
  • Send employees a special message, greeting on their birthdays
  • Ensure that timesheets are collated and send to Payroll
  • Ensure that payroll documents are sent timeously
  • Ensure organograms are updated and current
  • Perform all other HR related duties & specific project assignments such as wellness day etc
  • Generate monthly HR reports and other reports as required by the Provincial HR Manager or District/Programme

Induction & Exit Interview

  • Prepare all HR engagement documents for new employees and send them to Payroll
  • Coordinate the staff induction e.g Venue, lunch, stationery etc
  • Facilitation of induction programme when needed
  • Send communication to staff introducing new staff members
  • Exit interviews conducted when needed and bring any concerns to the attention of the Provincial HRM

Recruitment & Selection

  • Ensure that recruitment requisitions are filled and stored on the H drive
  • Drafting of advertisement
  • Participation in interviews as and when required
  • Conduct preemployment checks on MIE & reference checks
  • Draft employment contracts for permanent, fixedterm, and all other categories of staff
  • Ensure complete engagement packs are submitted to payroll timeously
  • Participate in interview process when required
  • Send monthly updates on new appointments and terminations to the Provincial HRM

Adhoc duties

  • Ensure IOD documents are completed and send to DoL & payroll
  • Ensure that Temporary Disability and death claim forms are completed, verified by HRM and send to PSG & payroll
  • Collation of HR documents is done e.g Performance Contract & reviews, Probation docs, Study leave etc.
  • Ensure that all HR documentation is saved and updated on the HR drive
  • Attend to all employees ESS queries

Any other tasks as agreed with line manager.

Qualifications and Experience

  • Diploma in at least one of the following disciplines: Human Resources, Labour Relations and Industrial Psychology
  • Minimum 23 years HR administrative experience
  • Previous experience in working for NGO in HIV/AIDS environment will be advantage
  • Ability to learn and work independently
  • Good problem solving skills
  • Organisational and administrative skills
  • Ability to multitask and work under pressure
  • Good communication and writing skills
  • Ability to build strong working relationships across all levels of the organization
  • Computer Literacy and proficiency in MS Office
