We are looking for an Operations and Training Supervisor to join our team and support our organization by executing hands on operational day-to-day tasks and administrative needs of our business operations.
Operations and Training Supervisor responsibilities include completing various administrative tasks, enforcing operational business and standards pertaining to training and support activities.
Ultimately, you will work with various departments across the organization to ensure all administrative and operational tasks are completed as needed.
Responsibilities
Hands on operational day to day support end to end with training classrooms and schedules.
Operational support to 28 instructors entails:
- continual communication
- query resolution
- preparatory material distribution
Student courseware and lab access distribution, and CRM oversight based on automation of this function.
Accuracy of access codes, check proper allocation and resolving/escalating any issues found.
Book and lab orders and stock management of access codes.
Reconciliation of access keys that have not been redeemed and following-up with delegates that have not redeemed access keys as this forms part of our vendor KPI's.
Studio allocation and management, this entails the allocation of studios to specific instructors on a weekly/daily basis as well as checking that all studios are functional and neat.
Continual interaction with Operations, Sales, and differing managing teams to ensure the company processes are functioning optimally.
Receiving, scrutanising and deciding the outcome for Student For Approvals submissions on a daily basis.
Preparing vendor payment material documents as POE where instructed.
Observe the No Show report and responses, make decisions based on No Show impact and where it has a catering, book, or lab impact.
Manually share instructor schedule per instruction from Operations Executive, as required.
Oversight on hybrid classes allocated and preparation of VC studios.
Manage and distribute a laptop register for all our studio's that have laptops setup for the week.
Plan and organize split entry registration requirements for weeks when we have a multitude of in-person deliveries.
- especially new and contract instructors.
Arrange Instructor pack or laptops to send for onsite deliveries as well as send out all relevant communication to instructors pertaining to these engagements logístically.
Facilitating instructor's sign-out register of equipment and filing documents.
Assisting the Operations Executive with day-to-day recurring operation duties.
Standing in for other operations duties where required, this predominantly entails taking screenshots, ensuring registers are printed and completed, receiving and delivering meals to in-person attendees and any other aspects that need to be handled.
Experience Requirement:
- Minimum 2 years' experience working in a corporate environment.
- Proven work experience on administrative tasks and execution or similar experience.
- Excellent communication and listening skills.
- Ability to work under pressure.
- Attention to detail.
- Strong computer proficiency (Microsoft Office)
- Experience with inventory management, database, or similar software is beneficial.
Educational Requirement:
- Studying towards Business Management or Leadership Diploma/Degree an advantage.

Salary:
R20, R35,000.00 per month
Ability to commute/relocate:
- Johannesburg, Gauteng: Reliably commute or planning to relocate before starting work (required)
