Responsibilities:


  • Answering switchboard in a friendly and professional way, screening calls, taking messages, and forwarding incoming phone calls.
  • Managing the gate intercom and screening visitors before allowing them in.
  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Administering attendance registers for trainees.
  • Receiving mail/parcels and distributing them accordingly.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material.
  • Perform other clerical receptionist duties such as filing, photocopying, printing, etc.
  • Assist in the Warehouse and Training Department when required.
  • Distribute orders to client liaison to process.
  • Keep record of all orders handed to processors, these to be date and time stamped.
  • Informs Stockist of "out of stock" items and keep a backorder list.
  • Manage customer queries.
  • Assist with all courier queries and liaise with courier consultant.
  • Keep register for collections and records of proof of delivery.
  • Ordering of grocery and stationery for the office.
  • Maintain inventory levels of stationery and cleaning materials.
  • Organise servicing of electronic equipment on site
  • Assist Managers with staff allocation.
  • Ensure all suppliers invoices are signed and scanned to relevant people.

  • Knowledge of understanding quality system and basic literacy,

Quailifications:


  • Matric or NQF 4 equivalent
  • 3 years' experience
