Job specification - Regional Manager

Purpose of the job:


  • To coordinate Clinic Operations to ensure sales growth, control Clinic expenditure and compliance to operational standards.

Key responsibilities:


Quality:


  • Maintain, update and continuously improve Operations policies and procedures.
  • Conduct audits of the Operations Quality Management System.

Financial Management:


  • Manage expenditure against the budget.
  • Manage risks in own work/business environment (assets, cash).
  • Safeguard company assets (working capital & fixed assets).
  • Lead and drive cost saving and cash conservation initiatives.
  • Identify cost saving and cash conservation opportunities.
  • Control petty cash.

Customer Relations:


  • Measure customer satisfaction within a business unit and recommend corrective action.
  • Monitor customer satisfaction.
  • Develop and manage customer relationships to meet business objectives.
  • Liaise with a range of customers.
  • Handle and attend to a range of customer complaints.
  • Collect customer feedback.

Supplier Relations:


  • Liaise with a range of suppliers (Landlords, Couriers).
  • Foster and maintain supplier relations.
  • Interact with internal suppliers (Panacea Pharmacy).

Stakeholder Relations:


  • Build relationships with a varietyof stakeholders (Doctors).

Operations Strategy:


  • Contribute to the Operations strategy by making recommendations on relevant strategies, systems and initiatives.
  • Implement Operations Strategy.

Operations Management:


  • Maintain targets per region.
  • Investigate and initiate best practices for the Operations of the Region.
  • Conduct SWOT analysis for the business for improved operation.
  • Recommend staff movements to meet operational viability.
  • Assist with an action plan to meet sales targets

Marketing and Advertising:


  • Ensure distribution of fliers

Sales Management:


  • Maintain and increase salesfor the company.
  • Communicate targets to Clinic staff.
  • Monitor team's performance and motivate them to reach targets.
  • Recommend expansion of customer base.
  • Conduct and attend to the needs of your existing customers.
  • Increase business opportunities through initiating various routes to market.
  • Compile and analyse sales figures.
  • Maintain a client database for the Clinics.

Crisis Management (Priapism):


  • Manage operations risks and shortcomings.
  • Come up with mitigating solutions to crisis.
  • Get continuous updates during the day and recommend action plans.
  • Deal with crisis and emergencies (Priapism).
  • Administer the priap kit and manage Priapism.
  • Be on standby incase of emergency.

Doctors:


  • Liaise with and recruit Doctors.
  • Manage expenses for the Doctor (Travelling, daily payments and accommodation).
  • Ensure Doctors' compliance to patient files.
  • Conduct random spotchecks on Doctors' performance.

Satellite Clinics:


  • Confirm of premises and Doctors weekly and monthly in advance.
  • Ensure there is enough supplies of medication to patients and doctors.
  • Recommend staff rotations and movements.
  • Ensure there are enough communication/devices in the satellite clinics (cellphone, laptop, fax etc).
  • Ensure that car rental is done where necessary.

Project Management - New Business:


  • Manage processes around opening of a new clinic.
  • Recommend renovations and partitions of the rented property to make it clinic user friendly.
  • Consider the logistics and convenience for patients.
  • Procure furniture and equipment needed for the new operations.
  • Supply the need analysis of the premises (chairs, tables, medical equipment)
  • Supervise a project team of a Operations project to deliver project objectives
  • Manage stakeholder relations on a project.
  • Contribute to project initiation, scope definition and scope change control.

Day-End Administration:


  • Check that the day end procedures have been performed correctly.
  • Consolidate dayend spreadsheet and follow up on out of lines before COB.
  • Prepare ED report daily and ensure all patients are contacted before COB.

Stock Management:


  • Ensure Stock availability in clinics.
  • Conduct stock audits.

Reporting:


  • Compile adhoc OperationsReports.

Performance Management:


  • Manage individual and team performance.

Industrial Relations:


  • Manage conflicts within the workplace.
  • Ensure discipline is maintained in the department (Absenteeism, Time Management, overtime, misconduct, etc.).

Minimum qualifications and experience required:

Diploma in Business Management/ Marketing Management

Diploma/Degree in Business Management


At least years experience in a related role, of which 5 should have been at a management level or experience in a functional/specialist area.
