Service Coordinator

& Administrator - Catering Equipment (Cape Town), R14 000pm CTC

Position Overview:


As a Service Coordinator for our catering company in Cape Town, you will play a pivotal role in ensuring the seamless coordination of service operations.

Your responsibilities will include managing service quotations, updating reports, tracking technician timesheets, logging job calls, and monitoring our support system ASANA.

This position demands a detail-oriented and organized individual with experience in service job card processing and a strong proficiency in Excel.


Responsibilities:

Service Quotations:


  • Create and manage all service quotations promptly and accurately.
  • Ensure that service quotes align with company pricing and client requirements.

Reports and Spreadsheets:


  • Update and maintain reports with relevant service information.
  • Utilize Excel to create detailed and insightful spreadsheets for tracking and reporting purposes.

White Board Updates:


  • Keep the whiteboard updated with the current status of spare parts and servicerelated tasks.
  • Ensure all team members have access to realtime information on service progress.

Technician Timesheets:


  • Track and manage technician timesheets accurately.
  • Compile and submit timesheet reports as required.

Job Call Logging:


  • Log all service job calls into the system promptly and accurately.
  • Monitor and follow through on all logged service requests to completion.

ASANA System Management:


  • Update and monitor the support system ASANA regularly.
  • Ensure that tasks, deadlines, and projects are managed efficiently within ASANA.

Qualifications:


  • Previous experience in service job card processing is essential.
  • Advanced proficiency in Microsoft Excel for creating reports and spreadsheets.
  • Familiarity with whiteboard systems for tracking and communication.
  • Experience with time tracking and coordination of service technician schedules.
  • Strong multitasking abilities and the capability to work under pressure.

Requirements:


  • Excellent organizational and time management skills.
  • Proficient in utilizing various systems, with a particular emphasis on ASANA.
  • Strong attention to detail and accuracy in handling servicerelated documentation.
  • Ability to adapt to changing priorities and a fastpaced work environment.
