Position title :

FILE STORE ASSISTANT

Position reports to :

BUSINESS SUPPORT SUPERVISOR

Business Unit :

PROPERTY MANAGEMENT

Main purpose / objective of the position:
Do all File Store & Document Management activities & duties at the Sanlam Contract.


Decision making authority:

Has the authority to execute all Key Performance Areas as stated on this form.


Experience / Education:

GR12 and 1-2 Years' experience in Document Management Processes


Skills required:


Knowledge of Document Management Processes:

  • Handling of paper files (Requests &Filing).
  • File requests System.
  • File Stores (Filing System).
  • Document Centre System.
  • Microfilm Requests & Storage.
  • Handling of Policy Contracts.
  • Documents Filing.
  • Open & Bind of new Files.

Computer Literate:

  • File Requests System.
  • POL System.
  • Document Centre System.
  • Document Management process knowledge (operational).
  • Document Management policies (administrative).

Key Job Outputs:


Handling all files & Documents:
Confirm accuracy of number/s and legitimate documents or items requested.

Sorting, Identification, Delivery & Filing of Files & documents.

Correct handling/delivery of Document Management client requests.

Operating the file requests system according to guidelines.

Handling all File Store Requests according to priority as per SLA.

Handling of requests electronically or manually.


Adhere to the Safety, Health, Environmental and Quality (SHEQ) Management System's Policies & Procedures of as applicable to this position.

Any reasonable action requested by management.


File Store Maintenance:


Handling all File Store Maintenance activities:
Destruction of all files.

Move-up of File Store Files.

Packing & Sorting of Store Documents, Files and Related Items.

Handling of all File Store Queries.

Accurate identification of documents & files.
