Our client is URGENTLY looking for an Assistant to Estate Officer Administrator/ Fiduciary Specialist. Our clients company specializes in the administration of deceased estates._

Monday to Thursday - 08:00 to 16:00 and Friday - 08:00 - 15:00


Job Description / Duties:


  • Setting up of Teams Meetings between estate officer and heirs/ executor.
  • Actioning off electronic instructions from Estate Officer.
  • Ability to manage, control and clear Outlook Inbox and the movement of paper trail to each estate outlook box and copying the estate officer in on all communications.
  • Saving of all records on the Cloud in each respective client folder as per defined office process.
  • Preparation of all estate related letters and outstanding matters so instructed upon.
  • Reporting of estate to MOHC.
  • Arrangements and liaison with courier, runners, brokers staff.
  • Attending to banking instructions, doing of payments.
  • Placing of Sec29 & Sec35 advertisements.
  • Lodgement of master's queries as instructed upon.
  • Liaison with various financial institutions on assets and liabilities held by the deceased.
  • Electronic and telephonic liaison and twice weekly follow ups on outstanding certificates of balance, income tax certificates, proceeds, and printouts from financial institutions.
  • Redemption and or transfer of shares, investments, vehicles, firearms.
  • Instructions to Conveyancer to transfer and or sell fixed property.
  • Instructions to accountant on to date of death tax return, registration of estate as taxpayer and TCC, including sourcing of any vouchers/ information required by the accountant.

Skills and Strengths:


  • Strong time management skills.
  • Ability to work in a team and under pressure. Our office has a fast-paced environment.
  • Ability to prioritize & conclude matters assigned within timelines set, take verbal and mostly electronic instructions and work alongside an estate officer.
  • Ability to communicate & correspond fluently in English.
  • Positive Team Player, focused on business deliverables & client centric.
  • Timeous and accurate administration on matters assigned and in providing regular feedback on unresolved matters.
  • Ability to work without being micromanaged.
  • Computer Literate. Well versed in Outlook, Teams, Excel, Cloud, Word.
  • Delivery focused and able to work under pressure with a calm methodical approach.
  • Previous experience in deceased estate administration shall be beneficial.
